Arcosa Specialty Materials is searching for an Office Manager for our Seattle, WA plant. In this role you will support a positive safety culture by supporting the activities and staff within a 24/7 aggregate environment that is regulated by MSHA safety standards.
As an Office Manager, you will provide administrative and organizational support to ensure smooth office operations, efficient workflow, and compliance with company policies.
Arcosa Specialty Materials is a leading producer and distributor in the Western and Southwestern U.S. of lightweight and natural aggregates, including expanded shale and clay, crushed stone, sand and gravel, asphalt rock, and other products.
What You'll Do:
- Serve as the primary point of contact for incoming calls and direct them to the appropriate person (e.g., Plant Manager, Sales, etc.).
- Manage and maintain the plant’s records program, ensuring accuracy and compliance.
- Conduct new hire orientation and assist with onboarding processes.
- Maintain MSHA training records and ensure compliance with regulatory requirements.
- Review employee timecards for missing punches and follow up as needed.
- Assist plant management with drafting correspondence, reports, and other documentation.
- Coordinate administrative tasks to support plant operations and safety initiatives.
- Collaborate effectively with colleagues in a small-team environment—flexibility and teamwork are essential.
- Perform other administrative duties as needed to support the success of the plant.
What You'll Need:
- Strong organizational and administrative skills with attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of recordkeeping and compliance processes; experience with MSHA regulations is a plus.
- Ability to work collaboratively and maintain a “team-first” attitude—“not my job” is not in your vocabulary.
- High school diploma/GED required; additional coursework or certification in office administration preferred.
- Previous experience in an administrative role supporting operations or compliance is strongly desired.
Compensation:
- $66,500 - $81,000 / year
- Production Bonus Eligible
