Position Overview

We are seeking a Studio Operations Manager to lead the smooth and efficient functioning of the studio. This role ensures that day-to-day operations, systems, and resources support SSP's creative work, while providing proactive support to the Principal and design team. The Studio Operations Manager contributes to the development and maintenance of internal processes, communications, and studio culture, helping the team work more effectively and sustainably.

Roles & Responsibilities

  • Projects:
    • Oversee new Client financial onboarding and setup, including W-9, guidance documents, and insurance certification, if needed
    • Assist with coordination and scheduling shipments, deliveries, and installations in collaboration with design team and Procurement Lead
    • Handle project billing and client invoicing through Monograph and QuickBooks
    • Support the design team with visualization and representation workflows, and identify opportunities for standardization and increased efficiency

  • Practice:
  • Maintain an award calendar and oversee preparation of submittals together with Principal
  • Maintain a highly organized and efficient archival system in collaboration with financial and design teams
  • Assist Principal with Studio’s project budgeting and scheduling
  • Assist Principal in preparation of project proposals and responses to RFPs/RFQs
  • Oversight of project performance, data entry, and creation of reports for business management
  • Lead hiring, interviewing, and onboarding processes for new staff and interns, including development of interview guides and training resources
  • Refine client-facing touchpoints, such as coordinating gifts and supporting business development activities by helping manage responses to new opportunities
  • Strategize external communications and marketing efforts, including oversight of SSP’s Instagram, website, and collaborative events
  • Studio:
  • Manage Studio scheduling
  • Oversee daily Studio management, including monitoring and maintaining office supplies, technologies, subscriptions, maintenance, and affiliations
  • Develop, organize and oversee book library
  • Help coordinate vendor meetings and appointments within the studio in collaboration with design team
  • Manage office equipment, systems, repairs, contracts and pricing, and coordination with IT consultant, and service providers as needed
  • Answer and screen inquiries, coordinate mail and deliveries, setup for client/vendor/team meetings
  • Collaborative:
    • Contribute to weekly team meetings
    • Communicate effectively - promptly, appropriately, and respectfully - with staff, consultants, contractors, and collaborators both remotely and in person
    • Establish and maintain office standards, including creation and maintenance of internal procedures, client-facing procedures, naming conventions, file structures, and best practices
    • Contribute to a positive, inclusive, and cooperative working environment
    • Play an active role in cultivating studio culture, from coordinating Lunch & Learns to organizing quarterly All-Hands meetings and team enrichment activities
    • Executive Support:
      • Maintain Principal’s calendar, deadlines and tasks
      • Data entry of timekeeping and expenses as needed
      • Administrative assistance, such as travel booking, meetings coordination and drafting emails
      • Oversee specialty office projects and/or events
      • Ad hoc research and fact-finding as needed
      • Help guide correspondence and deliverables with HR consultants, ensuring compliance and follow-through on personnel requirements
    Qualifications

    • Authorized to work in the U.S.
    • Bachelor’s Degree or higher, or equivalent work experience
    • Minimum of 5 years of relevant experience, including demonstrated success in a similar role/position
    • Excellent verbal and written communication skills
    • Experience in hospitality or client experience
    • Exceptional organizational skills with acute attention to detail and accuracy
    • Strong analytical, decision-making, and problem solving skills
    • Ability to adapt to change within an evolving and growing environment
    • Possess a high level of personal integrity and the ability to exercise discretion and maintain confidentiality
    • Friendly and outgoing personality, with strong people skills and a genuine desire to help others, as this role interacts directly with colleagues, studio visitors, new project inquiries, and vendors alike
    • Comfort interfacing with clients on matters of contract language and/or billing
    • Must be able to travel to project sites, vendor locations, and meetings as needed; reliable transportation and a valid driver’s license may be required for duties involving offsite travel
    • Knowledge of software including but not limited to: Adobe Creative Cloud, Slack, QuickBooks, Monograph or equivalent, Google Drive/Docs/Sheets, and Zoom

    An Ideal Candidate Might Additionally Have

    • Experience assisting with RFPs/RFQ
    • Experience within architecture or interiors

    Work Schedule

    • Monday–Friday, 9:30 AM – 6:00 PM

    Physical Requirements

    • Work Environment: Primarily indoor office/studio setting; occasional off-site work for presentations or site visits.
    • Physical Activities: Frequent sitting and computer use for extended periods. Occasional standing, walking, bending, and lifting (up to 25 lbs). Occasional reaching or climbing (e.g., to install presentation boards or displays).
