Job Title: Office Manager
Location: Miami, FL
Reports To: Principal at local firm
Position Summary:
The Office Manager is responsible for overseeing the full range of administrative, operational, and office management functions of the accounting firm and fosters a positive workplace culture. This role serves as the central point of coordination between administrative staff, accountants, firm leadership, and the corporate parent company. The Office Manager ensures that office operations run efficiently, standard operating procedures are established and followed, and client and internal issues are resolved professionally and promptly.
Key Responsibilities:
Staff Management & Supervision
· Manage and supervise three full-time administrative staff members, including:
o Front-Desk Operations Associate
o Billing Specialist
o Tax Administrator
Assign, prioritize, and monitor administrative workloads to ensure deadlines and service standards are met
Provide training, guidance, and performance feedback to administrative team members
Support HR initiatives including onboarding and employee engagement
Office & Administrative Operations
- Oversee all administrative functions of the office, ensuring smooth day-to-day operation
- Establish, implement, and maintain Standard Operating Procedures (SOPs) to improve efficiency, consistency, and compliance
- Maintain central office calendar for all personnel time off/sick time and holiday office closures
- Order and manage all office supplies
- Maintain office policies, systems, and workflows to support firm operations
Accounting & Workflow Coordination
- Support scheduling and administrative aspects of client engagements
- Assign clients/projects to accountants
Client Relations & Issue Resolution
- Serve as an escalation point for client concerns or issues, ensuring professional resolution and clear communication
- Maintain strong client relationships by addressing service issues promptly and effectively
Leadership & Communication
- Liaise with the corporate parent company regarding administrative, operational, and reporting matters
- Meet regularly with firm principals to review reports, discuss office operations, and address any issues and/or upcoming needs
- Prepare and present administrative and operational updates as required
Systems & Data Management
- Maintain and manage various database systems, with a primary focus on CCH Axcess Practice
- Ensure data accuracy, system integrity, and proper use of firm software and tools
- Coordinate with internal or external support as needed for system updates or troubleshooting
Qualifications & Skills
- Previous experience as an Office Manager or in a senior administrative role, preferably in an accounting or professional services firm
- Proven experience managing and supervising staff
- Strong organizational, leadership, and problem-solving skills
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients and leadership
- Must have advanced knowledge of Microsoft Office products including: Word, Excel, Outlook and Teams
- Proficiency with practice management and database systems; experience with CCH Axcess Practice strongly preferred
- Ability to establish procedures, manage multiple priorities, and work effectively in a fast-paced environment

Salary : $65,000 - $80,000
