Admissions Associate
Archbishop Carroll High School

Reports to: Director of Admissions
Archbishop Carroll High School is seeking a highly organized, detail‑oriented, and mission‑driven Admissions Associate to support the daily operations of the Admissions Office. The ideal candidate is a strong communicator, culturally responsive, comfortable in a fast‑paced environment, and committed to providing exceptional service to prospective families. This role is essential in ensuring a welcoming and efficient admissions experience for all applicants.
Candidates must be flexible with scheduling, as some recruitment events and admissions activities occur during evenings or weekends. Additionally, during peak admissions season, work hours may extend beyond the standard workday to ensure timely processing of applications and required documentation.
Key Responsibilities
Office Management & Customer Service
Serve as the primary customer service representative for the Admissions Office.
Provide clear, professional, and grammatically correct verbal and written communication.
Maintain an organized, welcoming office environment for families and visitors.
Administrative & Clerical Support
Process all admissions decision letters and related correspondence in conjunction with the Director of Admissions.
Complete clerical tasks including mail merges, document preparation, filing, and data entry.
Ensure accuracy and efficiency in all administrative processes.
Prospective Student Information Management
Monitor and clear the admissions inbox daily.
Check and respond to department voicemails each day.
Properly label, organize, and upload all communications and documents.
Recruitment Support
Participate in the development and execution of the annual Admissions Master Plan.
Represent the school at recruitment fairs, school visits, and community events—both on and off campus.
Provide accurate information and maintain professional decorum at all events.
Work flexible hours as needed for evening or weekend recruitment activities.
Marketing & Communications
Assist in creating, updating, and distributing admissions marketing materials.
Ensure materials are accurate, engaging, and aligned with school branding.
Family Support & Application Processing
Assist families throughout the admissions process via email, phone, and in-person communication.
Enter application and financial information into the admissions system with accuracy and confidentiality.
Demonstrate cultural sensitivity and a commitment to serving diverse communities.
Utilize bilingual skills when applicable; otherwise, demonstrate willingness to learn basic communication phrases in other languages.
Community & School Partnerships
Support recruitment efforts with feeder schools, churches, youth centers, and community organizations in conjunction with the Director of Admissions.
Build positive relationships with external partners and prospective families.
Scheduling & Coordination
Schedule meetings with prospective parents, applicants, and feeder-school representatives.
Coordinate tours, shadow days, and prospective student activities.
Manage the Lion 4 a Day program, including scheduling, communication, and ambassador coordination.
Maintain accurate tracking and data for all tours and shadow visits.
Student Registration & Data Entry
Collect and process registration materials for new students.
Enter new student information into the Student Information System with speed and accuracy.
Front Office Collaboration
Assist the main office by answering phones and providing front desk coverage when needed.
Communicate coverage needs with the Director of Admissions to ensure workload balance.
Other Duties as Assigned
Support additional admissions, recruitment, or school-wide initiatives as needed.
During peak admissions season, work hours may extend beyond the standard schedule to ensure timely processing of applications and paperwork.
Qualifications:
A high school diploma (Bachelor’s or Associates degree preferred)
Highly proficient in Microsoft Office is required and the ability to learn other computer systems.
Written and oral communication skills in English and Spanish required
Demonstrate a positive attitude
Good communication skills
Sensitivity to working in a diverse multi-cultural environment
Knowledge of the Catholic faith, beliefs and practices
