St. Michael Parish in Hudson, is looking for an Administrative Assistant to join our team. In this role you will report directly to the Parish Administrator, Father Bert Proulx, and will assist the Administrator, the Pastoral Assistant, Coordinator of Religious Education, Business Manager, Facilities Manager, and the deacons.
Primary job duties include interacting with the public as the face of the parish center, greeting those looking for assistance in pastoral matters. It is expected that the employee fulfills these duties in accordance with Catholic values and ethics, in a professional manner. This is a full-time, benefits eligible position at 40 hours/week at the parish office in Hudson. Candidates who are bi-lingual in English/Portuguese are a plus.

Essential Responsibilities
The Administrative Assistant’s primary responsibility is to collaborate with the team to prioritize job tasks that include but are not limited to the following:
- Prepare, review and produce the weekly parish bulletin.
- Manage office communications to and from parishioners and visitors (in person, phone, email, social media). Coordinate communications with Pastor or parish staff to ensure consistency of parish messaging.
- Manage the schedule/calendar of church, conference rooms, and office spaces for various liturgical, ministerial, and other meeting purposes.
- Organize and coordinate meetings and training sessions with staff and volunteers.
- Support the management of the cemetery.
- Order office supplies.
- Maintain spreadsheets of ministries.
- Manage registrations and other records for the religious education program.
- Schedule Mass intentions; send and/or fill out Mass cards if requested.
- Oversight of compliance with Archdiocese concerning Criminal Offender Record Information queries for staff and volunteers and Safe Environment training for children.
- Oversight of parish databases (e.g., volunteer list, sacramental records).
- Escalate issues to the Pastor/Administrator as needed.
- Maintain the business files and archive business files for the parish.
- Demonstrate the ability to pivot priorities as needed within a small business environment.

- Knowledge, skills, and abilities of common computer programs (Canva, Adobe, Microsoft Office 365- Word, Excel, Publisher, Mail Merge).

- Ability to demonstrate empathy and a pastoral sense of care towards those who come to the parish for ministry and support.
- Ability to sit and use a computer keyboard for hours at a time.
Qualifications
- 2-3 years’ experience in an administrative or similar role: coordinating and organizing scheduling, record keeping, and communications using common computer and software programs and specialty software products required.
- Must be willing to support the mission and local vision of the Roman Catholic Church, preferably a practicing Roman Catholic.
- Associate or bachelor’s degree in business or related fields preferred.
- Experience serving as a lay minister or staff member in a Catholic parish preferred.
