The Role
We’re looking for a full-time Intake Coordinator to help Arbor Infusion create a personal, simple, and streamlined experience for patients and referring providers. This role will support organizational growth through direct referral-to-treatment coordination, including referral intake, insurance verification, benefits review, prior authorization, documentation follow-up, financial clearance, and scheduling coordination.
The ideal candidate has at least 2 years of experience in infusion authorizations, benefits verification, and patient intake. This role is a great opportunity for someone who values predictable hours, meaningful patient relationships, and the opportunity to help build a growing organization focused on raising the standard of infusion care.
In this role you will:
- Manage all aspects of the infusion referral process, from initial receipt through insurance verification, prior authorization, financial clearance, and patient scheduling
- Review referral documentation, including orders, clinical notes, labs, and medication details to support medical necessity
- Communicate with referring providers to obtain missing information and provide regular updates on the status of their patients
- Serve as a key contact for patients, explaining intake status, insurance requirements, financial responsibility, and next steps
- Partner with clinical, operations, revenue cycle, and business development teams to create a smooth referral-to-treatment experience
- Provide excellent service to patients, families, referring providers, and internal teammates
- Follow HIPAA, payer, organizational, and compliance guidelines
What we’re looking for:
- 2 years of direct infusion intake, benefits verification, prior authorization, reimbursement, or specialty pharmacy experience required
- Demonstrated experience supporting infusion therapies, biologics, buy-and-bill medications, or specialty medications
- Strong working knowledge of benefit investigations, medical and pharmacy benefits, prior authorizations, appeals, and payer requirements
- Experience working with commercial insurance, Medicare, Medicaid, and managed care plans
- Proficiency interpreting clinical documentation, referral packets, physician orders, and medical records to identify missing information and expedite patient onboarding
- Knowledge of CPT, HCPCS, ICD-10 coding, authorization requirements, and infusion reimbursement workflows
- Ability to independently manage referrals from receipt through treatment scheduling while maintaining exceptional accuracy and turnaround times
- Experience partnering with provider offices, payers, and patients to resolve complex authorization and coverage issues
