Overview
Araya HVAC Services is growing, and we’re looking for Service Operations Coordinator to take ownership of our day-to-day field operations support.
This is not a dispatcher role.
Our technicians manage their own schedules — your role is to ensure every job is executed at a high standard from an operational, administrative, and customer perspective. You will act as the backbone of our operations, supporting our technicians, maintaining data accuracy, and ensuring every job is properly documented, billed, and completed.
You will work directly with ownership and play a key role in building scalable systems as we grow.
Responsibilities
Technician Support & Oversight
- Serve as the primary operational support for a team of ~8 technicians
- Ensure technicians have the information, materials, and clarity needed to execute jobs successfully
- Act as a trusted resource for technicians on job documentation, quoting, and invoicing
Quality Control & Accountability
- Review job notes, photos, and asset data for accuracy and completeness
- Ensure all work orders meet company standards before closing
- Hold technicians accountable to documentation and process expectations
Invoicing, Quoting & Revenue Accuracy
- Oversee invoicing to ensure all work is captured, accurate, and completed promptly
- Prepare and review customer quotes based on technician input
- Identify missed revenue opportunities and ensure proper billing
Customer Communication
- Communicate with customers regarding service updates, approvals, and follow-ups
- Ensure a smooth, professional customer experience from start to finish
Systems & Operations Management
- Maintain accurate records across service software (jobs, assets, customers)
- Improve workflows and operational processes as the company grows
- Monitor job progress and ensure timely completion (without dispatching technicians)
Performance & Data Insights
- Track key service metrics (job completion, invoicing speed, data quality)
- Identify trends, gaps, and opportunities for operational improvement
What We’re Looking For
- 1-2 years in operations, service coordination, or similar role (HVAC or trades experience preferred)
- Strong organizational and problem-solving skills
- Confident communicator who can work effectively with both technicians and customers
- Experience with invoicing, quoting, or service management software
- Ability to hold standards and ensure accountability without micromanaging
- Comfortable working independently in a remote environment
Nice to Have, but not required
- Experience in HVAC, plumbing, electrical, or other field service industries
- Familiarity with service platforms (ServiceTitan, Housecall Pro, etc.)
- Process improvement or systems-thinking mindset
