Provides a variety of general clerical and secretarial support for the County Extension office in accordance with department procedures and statutory regulations. Flexibility required as office conducts a wide variety of programs, tasks and functions.
ORGANIZATIONAL RELATIONSHIPS
- Reports to: County Extension Agents
- Directs: Non-supervisory position
- Other: Has daily contact with clientele groups including youth and adult organizations and clubs; other county employees, public and private schools, state employees, and the general public.
- Assists the general public, including answering questions, distributing informational bulletins, making referrals to Extension specialists outside the office, etc., as appropriate;
- Answers the telephone, including responding to questions, directing calls, and/or taking messages as appropriate;
- Develops and maintains electronic and paper files; assists in compiling reports; prepares correspondence; schedules appointments; maintains department calendar including use of conference room;
- Maintains official mailing lists for county, 4-H clubs, Master Gardener association, Leadership Advisory Board, Aransas County Health Coalition, etc.;
- Prepares and distributes newsletters for clientele groups
- Compiles data necessary to answer questions from the public, and assembles special reports;
- Assembles and researches information needed to answer questions from various entities;
- Provides support to agents on meeting deadlines and completing reports.
- Maintain financial records, process purchases, prepare check requests, and travel forms to various funding agencies, including County;
- Assists Extension Agents in submitting monthly reports to the Texas A&M AgriLife Extension;
- Maintains inventory of office equipment, supplies, and publications;
- Maintains standard office equipment and insure equipment is maintained in proper working order;
- Assists Extension Service Agent with special programs; and
- Performs other duties as assigned
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- General office operations and secretarial procedures;
- Basic bookkeeping, recordkeeping and filing techniques;
- Perform a high volume of work effectively without direct supervision, and exercise sound independent judgement in making timely decisions;
- Proficiency in both oral and written communication;
- Excellent computer skills including proficiency in word processing, spreadsheet and database applications;
- Familiarity with standard office equipment
- Type accurately at a speed of at least 60 words per minute;
- Maintain accurate records and files; prepare various required reports;
- And establish and maintain effective working relationships
- High school graduation, or its equivalent, plus at least two years of clerical experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.
