Real Estate & Facilities Specialist

Scope of Responsibility

• Prepare lease agreements for legal review, ensuring accuracy and inclusion of key commercial terms, including lease support for new acquisitions.
• Facilitate estoppel certificates, subleases, and sale agreements; Ensure proper executive approvals have been obtained.
• Working closely with brokers and Applied leadership, coordinate and manage real estate purchase and sale activity.
• Manage security and fire alarm processes, requesting audits, obtaining approvals, and processing capital invoices.
• Manage the establishment and discontinuation of utility accounts for Applied locations, leased and owned; Facilitate the month-to-month payment of utilities including exception management; Work with third-party vendor to audit accounts to ensure payment accuracy; Monitor and track all deposits placed on utility accounts for the General Accounting department.
• Oversee and manage activity relating to building and systems maintenance, landscaping, safety issues, general repairs, and insurance matters including the establishment and oversight of new agreements.
• Develop lighting upgrade and building improvement contracts; coordinate bids, perform bid analysis and make supplier recommendations to leadership; Facilitate lien verification and payment authorization for construction contracts.
• Monitor the application of energy rebates and track and follow up on any rebates due the company.
• Collaborate on the creation of the annual department budgets and monitor five department budgets to ensure compliance with budget goals.
• Manage the HQ cafeteria, interface between cafeteria manager and company associates, obtaining quotes for new equipment and ongoing pricing reviews.
• Process and audit corporate and field building invoices and capital project expenditures to ensure that the terms of contracts are adhered-to; Notify General Accounting department when construction projects are completed to ensure any deposits or progress payments are removed from the suspense accounts and redistributed to the fixed asset accounts.
• Coordinate with energy brokerage firm to bid and select optimal gas and electric providers; Monitor selected supplier performance post-award.
• Track and report vacant buildings as an input to monthly financial statements.
• Lead or support other projects as requested.

Requirements

• Bachelor degree and/or minimum 3 years experience.
• Must have a minimum one year experience in contract writing and/or building management experience.
