Position Summary
The Front Office Administrator serves as the first point of contact for clients and visitors. This role is critical to maintaining smooth front office operations while supporting accountants and administrative staff during peak tax and reporting periods.
Key Responsibilities
Greet clients and visitors in a professional and friendly manner
Answer and route incoming phone calls and emails
Schedule client appointments and manage calendars
Collect, organize, and track client documents and engagement paperwork
Assist with client onboarding, engagement letters, and administrative follow-up
Maintain front desk organization and office supplies
Process incoming and outgoing mail, scanning, and filing
Support administrative tasks for tax and accounting teams as needed
Maintain strict confidentiality of client financial and personal information
Qualifications
High school diploma or equivalent required; associate’s degree preferred
1–3 years of front office, administrative, or customer service experience (professional services or accounting firm experience a plus)
Strong communication and interpersonal skills
High attention to detail and organization
Proficiency in Microsoft Office (Outlook, Word, Excel)
Ability to manage multiple priorities, especially during tax season
Preferred Skills
Experience working in a CPA firm or professional services environment
Familiarity with document management systems and tax software portals
Strong client service mindset and professional demeanor
