Bilingual in Spanish and English (verbal and written)
Strong Excel skills, including data entry, formatting, and basic formulas
Experience assisting in an accounting or professional office environment
Familiarity with QuickBooks preferred
Typing speed of 40 WPM or higher
High school diploma or equivalent
Strong attention to detail and customer service skills
Experience with Microsoft Office (Word, Excel, Outlook), multi-line phone systems, and CRM platforms such as Salesforce, HubSpot, Zoho, or similar
Responsibilities
Greet and assist clients, visitors, vendors, and staff in a professional and welcoming manner
Provide bilingual front desk support (Spanish required; Punjabi a plus)
Answer, screen, and route calls using a multi-line phone system
Schedule appointments and manage office and staff calendars
Maintain a clean and organized reception and lobby area
Provide administrative support to accountants and accounting staff
Assist with QuickBooks (Desktop or Online) data entry and record updates as needed
Use Microsoft Excel to maintain logs, timesheets, reports, and tracking spreadsheets
Assist with filing, scanning, copying, email management, and document organization
Support HR and payroll processes by collecting and verifying documentation
Assemble onboarding packets including I-9s, W-4s, policies, and related forms
Accurately enter and update data in internal systems and CRM platform
