Key Responsibilities:
Serve as the front desk point of contact by greeting clients and visitors with professionalism and warmth
Answer incoming calls and direct inquiries appropriately
Seat clients for closings and ensure a smooth, welcoming experience
Provide light administrative support to escrow closers as needed
Manage office email inboxes, correspondence, and document filing systems
Request and track important documents such as loan paperwork, insurance, and payoff demands
Assist with data entry, scheduling, and maintaining accurate, organized records
Prepare and distribute reports, paperwork, and other office materials
Coordinate appointments, meetings, and follow-ups
Handle incoming and outgoing mail, packages, and deliveries
Maintain office supplies and ensure a clean, organized workspace
Communicate clearly and promptly with clients, team members, and partners
Follow company policies and assist with additional duties as assigned
Qualifications & Skills:
3–5 years of administrative or office support experience required
Proven ability to thrive in a fast-paced, high-volume environment
Exceptional customer service skills with a professional and friendly demeanor
Strong attention to detail and organizational abilities
Excellent verbal and written communication skills
Self-starter with the ability to work independently and as part of a team
Reliable, dedicated, and proactive with a strong work ethic
Comfortable interacting with clients and prospects in a variety of settings
