What are the responsibilities and job description for the Account Coordinator Sales position at AppleOne Employment Services?
The Account Coordinator is a key member of the sales and account management team, providing administrative support and customer service throughout the full sales and production process. This role supports a designated group of Account Executives (AEs), while also assisting the broader sales team and collaborating with other coordinators.
The Account Coordinator reports directly to the VP of Sales and plays an essential role in ensuring orders, documentation, and customer communications flow smoothly and accurately.
Key Responsibilities
Sales & Account Support
Proofread, enter, and process all customer orders
Assist with paperwork to ensure projects move smoothly into accounting
Research similar projects to support accurate quoting
Follow up with clients on order and project status
Screen inbound calls as part of the phone team
Conduct outbound calls to clients with expiring quotes and outreach as needed
Order & Project Management
Assemble reorder research, including pricing and quantity accuracy
Maintain samples of catalog programs and related binders
Monitor shipping reports for upcoming factory shipments
File and track shipping quotes for Account Executives
Verify shipping instructions on all incoming orders
Alert Accounting on potential direct-ship orders
Maintain and organize project files for AEs
Assist with AE desk responsibilities during absences
Documentation & Systems
Complete order confirmation documents when a customer PO is not provided
Handle licensing, trademark (TM), and manufacturing paperwork as required
Upload final quotes and approved factory artwork to customer records
Maintain and update CRM and customer records, including new customer onboarding
Ensure accurate and timely data entry across systems
