APMEX is looking for an Accounts Payable Specialist to join the accounting team! The Accounts Payable Specialist will perform all duties necessary to ensure invoices and payments are accurately reviewed, processed, and posted in a timely manner. This role is also responsible for processing customer refunds with accuracy and efficiency, as well as executing all payment functions for invoices to ensure prompt disbursement. The incumbent will report directly to the AP Manager.
A Day in the Life of an Accounts Payable Specialist:
• Process invoices transmitted to the accounting system from the inventory system, ensuring they match the corresponding purchase order (PO) and vendor invoice when provided
• Review and process vendor credit invoices, ensuring accuracy prior to payment and obtaining approvals as required
• Review and process customer refunds in a timely and accurate manner
• Review and process RMA (Return Merchandise Authorization) transactions, ensuring proper documentation and alignment with company procedures
• Verify payment methods and confirm banking details for ACH and wire transactions as needed
• Initiate ACH batches and wire payments for all disbursements, including PO invoices, operational expenses, and customer refunds
• Print and distribute checks for all required payments, including vendor invoices, operational expenses, and customer refunds
• Update and maintain document scans within the inventory system as needed
• Review and process secondary invoices in the accounting system related to vendor credit PO receipts
• Plan and prioritize daily activities to meet assigned deadlines
• Effectively communicate with internal teams, vendors, and customers via Microsoft Teams, email, and phone to ensure timely resolution of inquiries and issues
• Build and maintain strong working relationships internally and with vendors
• Organize workflow to maximize efficiency and accuracy
• Perform other duties as assigned by Management

Qualifications:Education:
- High school diploma required
- Bachelor’s degree or working towards, Accounting or Finance preferred
Experience:
-
1-3 years of experience in Accounts payable or related accounting experience preferred

Knowledge of Great Plains Dynamics or similar Accounting software is a plus
Computer Skills:
- Strong Excel and spreadsheet skills with a high level of accuracy
Other Requirements:
- Excellent organizational skills with the ability to manage multiple priorities and meet deadlines
- Confidence in communicating with vendors and cross-functional teams
- High level of integrity and ability to handle confidential information with discretion
- Solid understanding of accounts payable processes and basic accounting principles
