Position Summary
We are seeking a highly organized Bid Coordinator to support our commercial doors, frames, and hardware estimating team. This role focuses on the administrative and coordination aspects of the bidding process — managing invitations, organizing documentation, and ensuring bids are submitted accurately and on time.
Unlike an Estimator, who is responsible for performing detailed takeoffs, pricing, and scope analysis, the Bid Coordinator ensures that the estimating process runs smoothly, deadlines are met, and communication with clients, vendors, and internal staff is efficient.

Key Responsibilities
- Manage and track incoming bid invitations from general contractors and clients.
- Review and distribute project specifications, drawings, and addenda to estimators.
- Maintain and update bid schedules, calendars, and logs.
- Coordinate communication between general contractors, vendors, and the estimating team.
- Assist estimators by gathering vendor quotes and confirming pricing requests.
- Assemble bid packages for submission, ensuring accuracy and compliance with client requirements.
- Verify submission deadlines and confirm bids are delivered on time.
- Maintain organized digital and physical filing systems for all bid-related documents.
- Support the estimating and sales teams with administrative tasks as needed.
Qualifications
- 2 years of experience in construction administration, bid coordination, or related role preferred.
- Knowledge of Division 8 (doors, frames, hardware) a plus, but not required.
- Strong organizational and multitasking skills, with the ability to manage tight deadlines.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with estimating or project management software is helpful.
- Detail-oriented, with strong follow-up and documentation skills.
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
