Responsibilities and Duties:
- Client Progress Tracking & Productivity Monitoring: o Monitor all active clients to ensure completion of required services, including:
- Timely follow-ups
- Completion of exit surveys
- A minimum of three (3) clinical encounters per client before discharge o Maintain a master productivity tracker and update clinical team regularly on each client’s service status. o Ensure that all clinical encounters are accurately logged and reflected on the official tracker.
- Quarterly & Annual Performance Monitoring: o Track progress toward quarterly and yearly SAMHSA benchmarks (productivity, service engagement, retention, etc.). o Generate monthly and quarterly reports on clinical service completion and overall program compliance. o Highlight gaps or deficiencies with easy-to-understand summaries and data visuals for leadership review.
- Clinical Department Support: o Provide real-time feedback and updates to the clinical team regarding overdue tasks, missing data, or client service gaps. o Create and share organized spreadsheets (e.g., Excel or Google Sheets) with color-coded client lists indicating:
- Who is behind on follow-ups
- Missing documentation
- Upcoming deadlines or risk for non-compliance o Suggest areas of service improvement based on trends, bottlenecks, or low performance indicators.
- Collaboration with Data & Compliance Teams: o Partner with the agency’s Data Manager to align service tracking tools with official grant data reporting systems. o Remain up-to-date on SAMHSA reporting guidelines and ensure internal practices are compliant. o Support reconciliation efforts when discrepancies occur between clinical delivery and reported outcomes.
- Quality Assurance & Strategic Input: o Participate in clinical and administrative meetings to provide insights into service delivery outcomes. o Offer data-informed recommendations to improve program effectiveness and client engagement. o Flag systemic issues and work with leadership to refine workflows or service models when necessary.
- Fundraising Event Coordination: o Assist in the planning and executing of fundraising events from concept to completion, including securing venues, managing budgets, and coordinating staff and volunteers. o Develop timelines, task lists, and checklists to ensure seamless execution and maximum donor engagement. o Assess event success through post-event reports, attendance metrics, and donor feedback.
- Fundraising Opportunity Development: o Research new fundraising opportunities, including donors, corporate sponsors, grant funding, and community giving programs. o Monitor trends in the nonprofit and philanthropic sectors to inform strategic fundraising planning. o Propose innovative campaign ideas and engagement strategies tailored to target audiences and funding potential.
- Stakeholder Communication: o Assist with scheduling and preparing for stakeholder meetings and donor recognition events. o Maintain an organized stakeholder database to ensure timely and effective communication.
- Marketing Campaign Collaboration: o Work alongside the marketing team to design and implement outreach strategies that promote fundraising initiatives and increase community visibility. o Support content assessment for email marketing, social media, flyers, and digital advertisements. o Monitor campaign reach and engagement, adjusting strategies based on real-time performance data.
- Strong organizational and analytical skills with demonstrated ability to manage multiple priorities across clinical and administrative functions
- Proficiency in tracking tools such as Microsoft Excel, Google Sheets, and data visualization platforms (e.g., Google Data Studio, Excel)
- Working knowledge of clinical service documentation, productivity benchmarks, and client engagement metrics (preferably SAMHSA-related)
- Ability to create and maintain color-coded tracking systems to flag overdue services, missing documentation, and upcoming deadlines
- Skilled in developing reports that summarize trends and identify areas of improvement for internal teams and leadership
- Experience collaborating with data managers and understanding grant reporting requirements
- Excellent communication skills with the ability to provide timely feedback to multidisciplinary teams
- Comfort leading or co-leading fundraising events from concept to completion, including budgeting, scheduling, and volunteer coordination
- Flexibility to assist with outreach strategies, campaign content, and performance-based marketing adjustments
- Bachelor’s degree in Public Health, Social Work, Psychology, Nonprofit Management, or related field (Master’s preferred)
- At least 2–3 years of experience in clinical program operations, behavioral health support, or nonprofit work
- Strong understanding of trauma-informed care, behavioral health workflows, and data-driven program evaluation
- Experience supporting fundraising, donor relations, and community engagement activities
- Excellent time management, problem-solving, and interpersonal skills
- Ability to work independently and collaboratively in a fast-paced, mission-driven environment
