Job Description
Animal Specialties and Provisions is seeking a motivated, analytical, and highly organized Business Operations Lead to support key business functions across pricing administration, reporting, contracts, RFPs, systems, customer support, sales support, operations, and special projects.
This is a hands-on, cross-functional role for someone who is comfortable working in a growing small business where priorities can change and no two days are exactly the same. The right candidate will be able to take ownership of assigned work, use data to support decisions, identify opportunities for improvement, communicate clearly across departments, and help keep important projects moving forward.
This role requires a self-starter who is willing to learn all facets of the business, take ownership of assigned work, and make thoughtful decisions and recommendations with an understanding of the company’s broader goals.
This role does not have direct reports but will require strong communication, follow-up, and coordination with sales, customer service, operations, purchasing, finance, vendors, customers, and leadership. The ideal candidate is someone who can work independently, ask good questions, stay organized, and jump into different areas of the business as needed.
Essential Functions
- Support pricing administration, cost reviews, bid preparation, and related pricing file maintenance.
- Monitor customer contracts, expiration dates, renewal timing, bid opportunities, and related follow-up items to help ensure important deadlines and customer commitments are not missed.
- Assist with RFPs and bid responses by reviewing requirements, organizing documents, drafting responses, coordinating internal inputs, tracking deadlines, and helping ensure submissions are complete, accurate, and on time.
- Pull, organize, and analyze business data to identify trends, customer opportunities, pricing issues, expense concerns, and other areas requiring follow-up.
- Monitor business activity, operating expenses, purchasing trends, customer usage, and internal reporting to help identify opportunities to improve profitability, efficiency, and accountability.
- Support the sales team with customer data, pricing information, usage summaries, account-level reporting, and other information needed to manage and grow customer relationships.
- Help maintain clean and accurate data in NetSuite and other company systems, including customer, item, pricing, reporting, and workflow-related information.
- Assist with NetSuite saved searches, dashboards, reporting, system cleanup, process improvements, and internal data maintenance.
- Support customer service and order flow as business needs require, including entering customer orders from emails, responding to customer questions, researching order issues, confirming product or pricing details, and helping ensure customer needs are handled accurately and professionally.
- Work with operations, customer service, sales, purchasing, and finance to help make sure customer needs, order issues, delivery questions, special requests, and internal handoffs are communicated clearly and followed through.
- Support special projects across the business, including vendor research, equipment or system comparisons, process improvement projects, SOP documentation, workflow improvements, and other priorities as they arise.
- Track open items, owners, deadlines, project status, and decisions needed to keep work moving forward.
- Prepare summaries, reports, project updates, and recommendations for leadership as needed.
- Identify opportunities to improve efficiency, accuracy, accountability, reporting, customer service, pricing discipline, expense control, and internal processes.
- Work independently while knowing when to escalate questions, concerns, or decisions to leadership.
- Transact all business in accordance with ASAP’s business code of ethics and conduct.
- Perform additional responsibilities as deemed necessary by management.
Skills / Qualifications
- Strong Microsoft Excel skills and comfort working with data.

- Able to use data to identify opportunities, solve problems, and support better decisions.
- Able to recognize when to make a recommendation, when to move something forward, and when to escalate to leadership.
- Curious enough to ask, “Why are we doing it this way?”
- High attention to detail and accuracy is required.
Preferred Experience
- 3 years of experience in business operations, pricing administration, sales operations, customer operations, purchasing, finance, analytics, project coordination, or a related field.
- Experience with Excel-heavy reporting, pricing files, contracts, RFPs, ERP systems, inventory systems, customer service, sales support, or process improvement is a plus.
- NetSuite experience is helpful but not required.
