Veterinary Group Practice Manager
We are a full service veterinary medical facility with two full-service clinic locations in Chattanooga, TN. The professional and courteous staff at Animal Clinic Downtown & Animal Clinic East seek to provide the best possible medical, surgical, and dental care for our highly valued patients. Position Overview
The Group Practice Manager reports directly to the Regional Director Operations (RDO) to lead and manage a small group of hospitals and ensure the quality of medical care, unmatched client experience, associate engagement, and maximum productivity of the hospital team. The Group Practice Manager builds a long-term relationship with the hospital teams and clients. The Group Practice Manger partners with the RDO to support their teams, and Medical Directors (if applicable) to operate an effective and productive hospital team, ensure a safe and engaging hospital environment, and improve the medical quality, client experience and business performance of the hospitals.
Essential Duties and Responsibilities:
Partner with the Team Leads (if applicable) and Medical Directors to manage the hospitals as role models and champions of United Veterinary Care’s brand to provide consistent high-quality care and unmatched client experience to the most pets and clients and to maximize efficiency, productivity, and profitability.Train the team on hospital guidelines and practices and supervise and train teams to ensure compliance.
Identify potential obstacles or opportunities and formulate solutions to remove barriers in operations that would impede the teams from delivering excellent care and experience.
Work with Team Leads to develop SMART goals that align with hospitals’ strategy.
Provide effective communication between the hospital teams, clients, RDO, RVP-CO and Support Center teams.
Provide training and support on UVC systems, technology, and support functions.
Provide coaching, mentorship, and training on “unmatched” client experience in the hospitals.
Build collaborative relationships, including strong professional relationships with UVC team members, clients, and community.
Develop annual planning, budgeting, and goals for hospitals productivity levels in partnership with Support team, RDO and hospital leadership.
Consistently and regularly communicate with RDO and RVP-CO
Create a meeting cadence to support the Team Leads and leadership of the hospitals you support
People/Human Resources
Coaching/Performance Improvement and Performance DevelopmentSupport Team Leads on all performance conversations/coaching for all Para staff.
Partner with MD/RDO/RVPCO/People Advisor in those conversations for all Doctors.
Partner with RDO and People team on Performance Improvement Plans (PIPs), Performance Coaching (PCs) and terminations.
Keep RDO/People informed on ongoing coaching and PIPs, as well as escalating performance/conduct concerns
Partner with RDO/RVP-CO on yearly performance reviews of the hospital leadership team
Establish development plans for the Team Leads and partner with RDO/People on execution
Hiring/TrainingSupport Team Leads on a comprehensive onboarding and training plan for all staff
Submit HelpDesk tickets for open roles in the hospitals and support Team Leads with hiring and interviewing
Support Team Leads on taking budget into account when electing to hire and when scheduling training time
Dayforce - Schedule/Staffing/PayrollEnsure the hospital is working within their labor budget.
Ensure payroll is accurate and all PTO is approved and tracked appropriately.
Approve Para Schedule and ensure Team Leads have their para schedules in Dayforce a minimum of 3 weeks out and the DVM schedule 3 months out
Support Team Leads for payroll and all Dayforce entries as a backup
Ensure Team Leads are working appropriate hours in hospital to ensure appropriate support
Operations and Medicine
Client ExperienceSupport hospitals with any client concerns
Support Practice Coordinators and Inform RDO if PLIT/legal concerns or on complex complaints, including RVP-COs and MD on complex medical complaints.
Manage online communication platform/reminder system
Marketing
Drive marketing initiatives for the practice
Provide direction and support to the Practice Coordinators on marketing, social media, and online presence
Ensure that online reviews are answered within one week
Support Team Leads on NPS scores
Support Team Leads on keeping website content up to date
InventorySupport Team Leads on ordering processes that support patient care and stay within COGs budget
Support Team Leads on inventory counts as scheduled
Review/approve hospital invoices in Coupa over $5k.
Ensure that Accounts Payable and Accounts Receivable are managed
Accountable in conjunction with hospital leadership team for financial performance of the hospital and adherence to budget
Monitor Divvy spend for the hospitals and ensure that all receipts and coding happen by the end of the month
UVC
Communicate UVC initiatives and plans to the hospitals, implementing them in a timely manner as agreed upon with RDO
Attend UVC meetings
Support Team Leads on keeping tickets updated and communication moving until closed, update RDO if there are any problems or lack of resolution
Qualifications/Requirements:
Certified Veterinary Practice Manager (CVPM); or bachelor’s degree in business administration or related field preferred.
A minimum of 5 years’ experience in medical care facility operations management is preferred.
Knowledge of sales and marketing techniques.
Human Resources skills.
Thorough knowledge of the veterinary profession including terminology is preferred to effectively communicate.
