Key Responsibilities
Executive Support & Leadership Coordination
- Serve as a trusted partner to senior leadership, helping manage priorities, schedules, communications, and day-to-day operational activities.
- Maintain complex executive calendars, balancing competing priorities while ensuring efficient use of leadership time.
- Coordinate domestic and international travel arrangements, including detailed itineraries, accommodations, transportation, and supporting logistics.
- Manage executive expenses, documentation, approvals, and related administrative processes.
- Represent leadership professionally when interacting with internal teams, business partners, customers, and external stakeholders.
- Prepare executive presentations, reports, briefing materials, business updates, speeches, and leadership communications.
- Draft and edit professional correspondence on behalf of senior leaders.
- Ensure leadership is fully prepared for meetings through thoughtful preparation of agendas, supporting materials, and action plans.
- Facilitate communication across multiple business functions to maintain alignment and visibility on key initiatives.
- Capture meeting outcomes, track action items, and ensure timely follow-through.
- Coordinate leadership meetings, business reviews, offsites, and strategic planning sessions.
- Support budget-related processes, approvals, expense monitoring, and administrative controls.
- Gather, analyze, and organize information from multiple sources to support informed decision-making.
- Develop reports, dashboards, and presentations that translate data into actionable insights.
- Assist with special projects and business initiatives that support organizational goals.
- Partner closely with executive assistants, business leaders, and cross-functional teams across the organization.

- High School Diploma or equivalent required.
- Minimum of 5 years of experience supporting senior executives or business leaders.
- Demonstrated history of professional stability and progressive responsibility.
- Experience coordinating complex travel schedules, executive meetings, and business communications.
- Strong proficiency with Microsoft Office applications.
- Bachelor's Degree preferred.
- Experience supporting leaders within large, matrixed, or global organizations.
- Experience coordinating international travel and executive events.
- Familiarity with AI-enabled workplace tools, Microsoft Copilot, ChatGPT, or similar productivity technologies.
- Experience creating executive presentations and performing light business analysis using Excel and reporting tools.
- Hybrid work model with approximately 60% onsite and 40% remote flexibility.
- Standard business hours: Monday through Friday, 8:00 AM – 5:00 PM.
- Primary work location in Indianapolis, Indiana.
- Periodic travel to a secondary office location in Columbus as business needs require.
- Additional onsite presence may be required based on executive schedules and organizational priorities.
