Duties
- Oversee daily office operations
- Manage scheduling and calendar appointments for staff and leadership, coordinating meetings, events, and appointments with precision
- Handle vendor management by coordinating supplies, services, contracts, and payments to maintain seamless office functionality
- Maintain accurate bookkeeping, payment processing, and financial record-keeping using Microsoft software
- Organize and manage filing systems, both physical and digital, ensuring easy retrieval of documents and compliance with record-keeping standards
- Support human resources functions such as onboarding new employees, and managing employee records
- Assist in event planning for company functions or community outreach initiatives to promote engagement and team cohesion
- Ensure office supplies are stocked, equipment is maintained, and facilities are kept in excellent condition
- Provide exceptional phone etiquette while managing incoming calls and directing inquiries efficiently
Qualifications
- Proven experience in office management or administrative roles within a professional setting
- Strong ability to lead a team effectively
- Proficiency in Microsoft software for bookkeeping, payroll, budgeting, and financial reporting
- Excellent organizational skills with the ability to manage schedules, files, and multiple priorities simultaneously
- Experience in event planning and vendor management is highly desirable
- Exceptional communication skills—both verbal and written—and professional phone etiquette
- Ability to handle clerical tasks such as filing, data entry, and front desk responsibilities efficiently
