This is not a real estate role.
Instead, we support the legal community by contracting process servers to provide clients with timely and professional service.
Role Description:
As a Closings Coordinator, you will be instrumental in managing the workflow of our independent process servers, ensuring that closing affidavits, documentation, and invoices are completed accurately and on time. This role combines legal support, administrative coordination, and billing responsibilities, and operates in a fast-paced, dynamic environment where priorities can shift quickly, requiring strong multitasking, organization, and adaptability to keep workflows running smoothly.
Key Responsibilities
- Process Server Coordination: Collaborate with independent process servers to ensure timely completion of assignments and accurate submission of closing affidavits.
- Client Communication: Interact with clients to troubleshoot issues and provide finalize invoices and affidavits
- Documentation Management: Maintain organized records of affidavits, legal documents, and related communications to meet internal standards and compliance requirements.
- Billing & Invoicing Support: Track, review, and process invoices from process servers and other ancillary services, ensuring accuracy and timely submission.
- Communication: Serve as the primary point of contact for process servers, clients, and internal teams. Provide status updates, answer inquiries, and resolve issues efficiently.
- Quality Assurance: Review affidavits and related documents for accuracy, completeness, and compliance. Address discrepancies promptly.
- Deadline Management: Manage multiple tasks and ensure deadlines are met without compromising quality or accuracy.
Qualifications
- Bachelor's degree in a relevant field or equivalent work experience preferred.
- Previous experience in legal support, process serving, or related administrative roles preferred.
- Strong organizational skills and attention to detail.
- Proficiency with office software and email management; ability to quickly learn internal systems.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Experience with invoices, billing, or basic accounting tasks is a plus.
