Position Overview
PeopleAK is looking for a polished, proactive Executive Administrative Assistant to serve as the operational anchor of our office. You’ll be the face of our team — managing schedules, supporting clients and candidates, coordinating events, and keeping everything running smoothly. This role requires someone who communicates well, stays organized under pressure, and represents PeopleAK with professionalism.
Key Responsibilities
Office & Operations
- Prepare and maintain the office daily, including setup for meetings, trainings, and interviews
- Manage office supplies, general aesthetics, and a welcoming environment
- Maintain and coordinate the Operations Calendar
- Coordinate travel, schedules, and logistics for client site services
- Manage calendars and scheduling at the direction of leadership
- Perform daily review and scrub of candidate profiles (existing and new applicants)
- Serve as a knowledgeable point of contact for client inquiries across all PeopleAK services
- Receive and route incoming calls; respond to general correspondence promptly
- Coordinate trade shows, golf tournament booths, special events, and training sessions
- Prepare and organize event materials, trade show collateral, and training documents
- Draft and publish social media content and job postings; distribute client satisfaction surveys
- Write, organize, and manage documents at leadership’s direction
- Maintain accurate digital and physical files; assist with research and reporting
- Represent PeopleAK positively in all written and verbal communications
- 2 years in an intermediate administrative, executive support, or office coordinator role
- Proficient in Microsoft Office Suite and/or Google Workspace
- Experience with social media platforms and job posting sites
- Strong written and verbal communication; professional, polished presence
- Highly organized with strong attention to detail and ability to multitask
- Must be able to proactively anticipate office needs & multitask with a sense of urgency
