Position Overview
The Client Services Coordinator (CSC) plays a pivotal role in creating a welcoming, responsive, and organized client experience. As the first point of contact, you'll ensure prospective and existing clients feel valued and supported every step of the way.
This is a part-time position (Tuesday. Wednesday, and Thursday,-15–24 hrs./week) to start, with a high potential for full-time placement as the firm grows. The ideal candidate is highly relational, detail-oriented, proactive, and aligned with our mission of service and excellence.
Primary Responsibilities
Client Engagement & Relationship Management
- Serve as the friendly and professional first voice and face of the firm—by phone, email, and in person.
- Guide prospective clients to register for educational workshops and schedule planning sessions.
- Follow up on missed appointments, inquiries, and workshop attendance to encourage next steps.
- Ensure clients understand our planning process, timelines, and expectations.
Office Coordination & Support
- Manage calendars, appointments, and internal scheduling across the team.
- Prepare client welcome packets, meeting folders, nametags, and other materials.
- Ensure meeting rooms, reception area, and conference space are clean and client-ready.
- Process paperwork and correspondence, both digital and hard copy.
CRM, Workflow, and Event Support
- Enter and update client and prospect data in LEAP and other tracking tools.
- Track workshop registration, attendance, and conversions.
- Help plan and coordinate occasional client events or community presentations.
- Assist in creating and maintaining client files (physical and electronic).
Qualifications & Skills
- High School diploma required; Associate degree or higher preferred
- 2 years in client services, office admin, hospitality, or similar roles (legal or financial field a plus, but is not mandatory)
- Proficient in Microsoft Office (Word, Outlook, Excel)
- Comfortable with CRM systems
- Able to quickly learn workflow, software, and tools
- Warm, clear communicator—verbal and written
- High emotional intelligence and active listening skills
- Empathetic, solutions-focused, and professional
- Highly organized, task-driven, and detail-oriented
- Strong time management and follow-through
- Able to manage multiple priorities with grace
