Position Summary
We are seeking a friendly, organized Administrative Legal Office Support professional to join our team. This role is a blend of front desk and general administrative support. You will be the first point of contact for clients, visitors, and callers, and will play a key role in keeping the office running smoothly. The ideal candidate has excellent communication skills, a customer-service mindset, and the ability to manage multiple tasks efficiently.
Key Responsibilities
- Greet clients and visitors in a warm, professional manner and direct them to the appropriate person or department.
- Answer, screen, and route incoming phone calls; take accurate messages as needed.
- Maintain a clean, organized, and welcoming reception and lobby area.
- Schedule appointments, meetings, and conference room reservations for attorneys and staff.
- Assist with administrative and clerical tasks, including:
- Data entry
- Creating and organizing client files
- Filing, photocopying, and scanning documents
- Receive, sort, and distribute mail and deliveries; maintain a log of incoming and outgoing mail and packages.
- Coordinate with building security and manage visitor access to the office.
- Assist with special projects and other administrative duties as assigned by office management.
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Previous experience in a customer service, front desk, or administrative role preferred (legal setting a plus, but not required).
- Excellent verbal and written communication skills with a professional, courteous demeanor.
- Strong interpersonal skills and the ability to interact effectively with clients, visitors, and staff.
- Proficiency with Microsoft Office (Word, Outlook, Excel) and basic office equipment.
- Ability to multitask, stay organized, and prioritize work in a fast-paced environment.
- Strong attention to detail and accuracy.
- Reliable, punctual, and accountable.
- Commitment to maintaining confidentiality and professionalism at all times.

You will work in a professional office setting with access to standard office equipment, including computers, printers, scanners, and the resources needed to support legal and administrative work.
