Administrative Assistant

Responsibilities: 

  • Day-to-day office operations and provide administrative support to the technical/professional staff.
  • Produce reports that need to be compiled, printed, bound, and shipped along with other deliverables in an efficient manner for project managers and staff in multiple technical practice groups within established deadlines.
  • Within the established deadlines, assist and support technical teams by:
    •  Word processing of project notes and agendas.
    •  Assisting with the word processing and formatting of proposals and project correspondence.
  • Utilize Word Processing software with the development of robust templates, proofing, editing and production of proposals, reports and other documents in an efficient manner that meets the quality and needs of our clients. 
  • Coordinate project closeout process which includes:
    • Final lien waivers.
    • Warranty letters.
    • Operation and Maintenance Manuals.
    • As-Built Drawings.
    • Final project photos to coordinate for marketing.
  • Order/organize kitchen supplies.
  • Order office lunch and breakfast as needed.
  • Assist in the planning and implementation of company events.
  • Provide general administrative office functions:
    • Greeting customers and clients in a friendly and professional manner and communicate arrival to the appropriate party.
    • Sort and deliver all incoming mail to the appropriate party daily.
    • Receive incoming packages and deliver to the appropriate party on a daily basis.
    • Outgoing mail and packages.
    • Answer/screen incoming calls.
    • Assist with travel arrangements for technical team members.
  • Work as a team member and contribute as an individual in all tasks assigned.
  • Other projects, assigned by a large team of principals, project managers, accounting supervisors, and HR supervisors.
  • Accounting support is as follows:
    • Credit Card Entries.
    • Accounts Payable entries.
    • Petty Cash account reconciliation.
  • Coordinate all subcontractor and vendor communications and risk management which includes:

  Qualifications:

  • Strong organizational skills.
  • Detail oriented and proficient at both communications and financial matters.
  • Proficiency in Microsoft Office Suite specifically Word, Outlook, Power Point, Excel, and Teams along with Adobe preferred.
  • The ability to respond to constantly changing priorities and quickly changing client needs is essential.
