Founded in 1977 as a spinoff of Oak Ridge National Laboratory and the University of Tennessee, AMS has nearly 50 years of experience developing innovative testing technologies and engineering solutions that help nuclear facilities maintain safe, reliable, and compliant instrumentation and control (I&C) systems.

We invest heavily in research and development, encourage creativity in problem-solving, and provide hands-on opportunities to contribute from day one. Many employees build long careers here because they’re able to learn continuously, take on diverse technical challenges, and work in an environment guided by teamwork, respect, and shared purpose.

Job Description

The Senior Executive Assistant, Office of the President serves as a trusted, high-energy partner to the President of AMS, providing comprehensive administrative, communication, and logistical support that enables focus on leadership, strategy, and customer engagement. The role works closely with leaders and teams across the organization and supports coordination and execution through influence, sound judgment, and strong working relationships, rather than through formal management authority.

This role is ideal for someone who thrives in a fast-moving environment, enjoys variety, takes pride in making an executive’s life more efficient, and is energized by being at the center of a growing, technically sophisticated organization. The Senior Executive Assistant, Office of the President must be flexible, proactive, discreet, and comfortable exercising independent judgment - knowing when to take ownership and when to appropriately escalate or seek guidance in the face of changing priorities and high expectations.

This is a hands-on, high-trust role requiring strong judgment, excellent communication, and a proactive, flexible approach to executive support. The position involves close, on-site interaction with the President, as well as frequent engagement with AMS leadership, customers, and partners. It is not a fit for individuals seeking a strictly defined schedule, limited scope, or purely routine administrative work. The ideal candidate thrives in a dynamic environment and is trusted to operate with discretion, initiative, and a service-oriented mindset aligned with AMS’s commitment to excellence.

What You’ll Do

Executive Support & Time Management

  • Manage the President’s calendar, scheduling, and daily workflow to maximize efficiency and focus.
  • Provide daily and near-term reminders, preparation notes, and prioritization support.
  • Screen and manage incoming communications, including emails, phone calls, texts, and physical mail.
  • Act as a gatekeeper while maintaining professionalism and responsiveness with internal and external stakeholders.

Communication & Writing Support

  • Draft, edit, and refine written materials on behalf of the President, including emails, correspondence, notes, and internal or external communications.
  • Take rough or technical input from the President and convert it into clear, polished, professional written output.
  • Capture notes from meetings, calls, and discussions and translate them into actionable follow-ups when required.

Logistics

  • Coordinate complex domestic and international travel, including flights, lodging, ground transportation, and detailed itineraries.
  • Maintain flexibility to work outside normal business hours, including evenings or weekends, based on business needs.

Meeting & Coordination Support

  • Schedule and coordinate meetings with executives, customers, partners, and internal teams.
  • Prepare meeting logistics, materials, agendas, and follow-up actions as needed.
  • Serve as a point of coordination between the President and AMS leadership, staff, customers, and external partners.

Administrative & Office Support

  • Maintain organized digital and physical filing systems for executive correspondence, documents, and records.
  • Gather receipts and prepare expense reports.
  • Assist with special projects, administrative tasks, and ad-hoc requests as assigned.
  • Anticipate potential issues or conflicts and proactively address them before they escalate.

Who We’re Looking For

  • Highly organized and disciplined; comfortable operating within fast-moving executive environments that require precision, follow-through, and sound judgment.
  • Independent problem solver who balances confident ownership of responsibilities with good judgment around when to seek guidance; takes initiative while remaining accountable to established expectations and priorities.
  • Self-motivated and detail-oriented; demonstrates a strong commitment to accuracy, discretion, and quality, with an understanding of the importance of reliable support to executive effectiveness and organizational success.

Required Qualifications

  • Consistently energetic, positive, and professional demeanor
  • Significant experience providing executive-level administrative or operational support to a senior leader (President, CEO, Founder, or equivalent)
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills, with the ability to edit and improve others’ writing
  • High emotional intelligence and the ability to read situations, personalities, and priorities
  • Absolute discretion and comfort handling confidential and sensitive information
  • Advanced computer skills, including proficiency with Microsoft Office tools such as Excel, Word, and PowerPoint
  • Experience booking and managing complex travel arrangements
  • Flexibility to work extended hours, and adapt to changing schedules
  • A self-starter mentality with the ability to operate independently and take initiative
  • Executive-level presence and professionalism in all settings
