Responsibilities
- Manage front desk operations, greeting visitors and providing exceptional customer support with professionalism and warmth
- Handle multi-line phone systems, directing calls accurately and courteously while maintaining phone etiquette standards
- Oversee calendar management for church events, meetings, and appointments using tools like Google Workspace and Microsoft Office
- Maintain organized filing systems, both digital and paper-based, ensuring easy retrieval of documents and records
- Perform data entry, bookkeeping, and financial recordkeeping using QuickBooks or similar accounting software
- Coordinate office supplies procurement, inventory management, and general administrative support to staff and volunteers
- Proofread communications such as newsletters, bulletins, and official correspondence for accuracy and clarity
- Support event planning logistics, including scheduling rooms, preparing materials, and managing volunteer assignments
Experience
- Proven office management or administrative experience in a busy environment, preferably within a church or nonprofit setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Experience with phone systems, email, social media, clerical duties like filing and proofreading, and handling customer service inquiries
- Personal assistant or executive secretary experience is beneficial for supporting leadership team members
