We are looking for a detail-oriented, energetic Billing Specialist to join our growing team and help keep our projects moving forward seamlessly.

Position Overview

As a Billing Specialist, you will play a critical role in our project lifecycle. You will be responsible for managing the billing process from start to finish for our utility and pipeline projects. This includes collaborating with project managers, preparing accurate progress billings, tracking work-in-progress (WIP), and ensuring compliance with contract terms and industry regulations.

The ideal candidate has a strong head for numbers, excellent communication skills to coordinate with field personnel and clients, detail-oriented, and tech-savvy.

Key Responsibilities

Project Billing & Invoicing

• Prepare, review, and issue monthly progress billings for utility projects.
• Review project contracts to understand specific billing guidelines, retainage percentages, and submission deadlines.
• Collaborate closely with Project Managers to verify completed quantities, track milestones, and ensure accurate billing alignment with field progress.
• Compile and submit all necessary billing backups, including daily logs, material invoices, and subcontractor details.

Qualifications & Skills

• Experience: Billing experience preferred but not required. 
• Education: High school diploma required.
• Software Proficiency: Intermediate Excel skills (vlookups, basic formulas, formatting) are required.
• Attributes: High level of accuracy, strong organizational skills, and the ability to manage multiple project deadlines simultaneously. Excellent interpersonal skills to communicate effectively with field teams, PMs, and external clients.
