What are the responsibilities and job description for the Transportation Scheduling Coordinator position at Ampla Health?
GENERAL PURPOSE:
The Scheduling Coordinator is responsible for aiding all transportation drivers with scheduling patients and maintaining daily logs. The role will manage daily and monthly reporting around vehicle maintenance and other needed reports with third party organizations.
MAIN RESPONSIBILITIES & DUTIES:
1. Managing daily transportation driver schedules
a. Proactively work through third party program to obtain scheduling needs
b. Ensure driver schedules are ready and reported to each driver at start of day or day before
c. Communicate clearly on all changes throughout their shifts
d. Ensure schedules are managed to allow proper breaks and mealtimes
e. Communicate with third party organizations on incoming routes and transportation needs
f. adjusting driver schedules one hour in either direction at either the beginning or end of shift to best meet trip demands
2. Transportation billing processing
a. Ensures that Ampla Health transportation service bills process with payers timely
b. Reconciles Ampla Health transportation appointments with health plans and health plans contracted with transportation services -LogistiCare, ect…
c. Establishes contacts with MediCal, DentiCal, Managed care plans, and Managed care health plans to ensure proper billing
3. Responsible for maintaining vehicle logs and all maintenance reports
a. Work with staff to ensure daily logs are turned and properly completed
b. Create and maintain vehicle maintenance reports
c. Communicate maintenance needs and schedule times with transportation lead
d. Ensure proper filing and method of continued managed reports over time
e. Demonstrate customer service to individuals and representatives regarding subscription services external groups and persons
f. Maintains appropriate security and confidentiality of information created or encountered in the performance of assigned duties
g. Keeps informed of departmental regulations, policies, and procedures
h. May take sick calls and modify schedule accordingly, after hours
i. Works with lead biller to assist with billing process, as needed
4. Cover driver schedule if/when needed
a. Responsible for safe and timely transportation of the patients to and from their doctor’s appointment as scheduled.
b. Communicate with all scheduled Ampla Health clinics to navigate patient’s transportation, to ensure that patients are transported efficiently
c. Responsible for maintaining a completed daily transportation log and submitting them weekly to the Transportation Services Supervisor
d. Report any traffic violations and accidents to supervisor within 1 hour
5. Performs other duties as assigned by Supervisor

4) Demonstrate clear knowledge of Ampla Health’s clinic structure, standards, procedures, and protocols
5) Must have a valid California Class C Driver’s license and no more than 1 (one) point on driving record
6) Driver will need to be CPR certified and Driver Safety training completed
COMMUNICATIONS SKILLS
1) Must be able to interact with patients courteously and calmly
2) Ability to communicate well with the public
3) Must be able to type and communicate accurately with proper verbiage and grammar
WORKING CONDITIONS & PHYSICAL REQUIREMENTS
Employees must possess the following physical requirements:
1) Must be able to hear and communicate with clients and staff on telephone and those who are served “in person”, and speak clearly to communicate information to clients and staff
2) Must be able to lift to 40 pounds and push up to 100 pounds (on wheels)
3) Must have vision which is adequate to read memo’s, computer screen, registration forms and other clinic documents
4) Able to reach above shoulder level to work, must be able to bend, squat and sit, stand, stoop, crouch, reach, kneel, twist/turn
