Job Description

Location: Wallingford, Connecticut (On-site; not remote)

Reports to: HRIS Manager

Salary Range: $50,000–$70,000 annually, depending on qualifications, experience, and other relevant factors.


Position Summary

The Junior Time and Attendance Specialist supports the reliable operation of the organization’s timekeeping and related HRIS services. This entry-level role coordinates time clock and badge administration; supports schedules, punch, pay, and attendance policies; manages HRIS service requests, application access, secure email administration, and related billing; provides first-line troubleshooting; and partners with HRIS Analysts, internal stakeholders, and external vendors. The position is well suited to a detail-oriented, service-focused professional interested in HR technology and workforce systems.


Key Responsibilities

  • Coordinate the ordering, delivery, inventory, configuration, deployment, and replacement of time clocks for business locations.
  • Provide first-line support and troubleshooting for physical time clock hardware and browser-based time clock solutions, including connectivity, configuration, enrollment, badge reading, user access, navigation, and punch-recording issues; open and track vendor support cases, provide diagnostic information, coordinate repairs or replacements, and communicate status to stakeholders through resolution.
  • Order employee badges and assist with maintaining accurate badge information used for timekeeping.
  • Partner with HRIS Analysts and business stakeholders to configure, test, document, and maintain punch, pay, scheduling, and attendance policies and related time-entry rules within the time and attendance system.
  • Provide ongoing schedule and attendance policy management by processing approved changes, reviewing and monitoring exceptions, validating results, and troubleshooting issues that affect timekeeping, attendance calculations, rule application, or pay calculations.
  • Work with HRIS team members to investigate and resolve timekeeping, policy, badge, and clock-related issues; escalate complex matters appropriately.
  • Provide first-line support for computers, tablets, and mobile devices, including assisting users with setup, connectivity, applications, access, and basic troubleshooting; document and escalate complex issues to Information Technology when appropriate.
  • Maintain clear records of clock deployments, configurations, support cases, badge orders, invoices, resolutions, and standard procedures.
  • Support testing and validation of system changes, device updates, and policy changes before deployment.
  • Serve as an integral member of new business acquisition conversions by supporting data validation, system configuration, testing, user access, time clock and badge deployment, end-user training, issue resolution, and transition activities for HRIS, timekeeping, and secure email services.
  • Develop, coordinate, and deliver training and user guidance for employees, managers, and other end users on the HRIS system, time clocks, and the Human Resources secure email system, including new-user onboarding, process updates, and refresher instruction.
  • Assist end users with HRIS password resets and account-access issues in accordance with established identity-verification, security, and support procedures.
  • Monitor the HRIS group email mailbox; review and triage requests for assistance; respond to routine inquiries; assign, route, or escalate requests as appropriate; and provide stakeholders with timely status updates through resolution.
  • Manage HRIS application security and administrative-level user access by validating approvals; adding, modifying, or removing roles and permissions for new and existing users; maintaining request documentation; communicating status; and escalating exceptions or complex security needs to the appropriate HRIS or Information Technology team member.
  • Administer the Human Resources secure email system, including adding, modifying, and removing users; coordinating access and system support; maintaining accurate records; and reviewing, reconciling, and processing related billing.
  • Manage monthly billing for HRIS, time clock, equipment, service, and support costs by reviewing and reconciling invoices, validating charges against contracted services and usage, coordinating approvals, submitting invoices for timely payment, maintaining supporting documentation, and resolving discrepancies with vendors and Finance or Accounts Payable.
  • Perform general clerical and administrative support duties, including data entry, document preparation, filing, record maintenance, scanning, copying, and responding to routine correspondence.
  • Perform other duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent required; associate degree or relevant coursework in Human Resources, Information Systems, Business, or a related field preferred.
  • Up to two years of experience in HR operations, payroll support, technical support, customer service, or systems administration; relevant internship or academic experience may be considered.
  • Basic proficiency with Microsoft Office applications, especially Excel, Outlook, and Word, and experience using computers, tablets, and mobile devices.
  • Ability to learn time and attendance systems, HRIS platforms, device configuration tools, and vendor support processes.
  • Strong attention to detail, organization, documentation, and follow-through.
  • Effective written and verbal communication skills, including the ability to explain technical issues clearly to nontechnical users.

Preferred Qualifications

  • Experience supporting time clocks, badge systems, scheduling or timekeeping applications, payroll systems, HRIS platforms, application security, user access administration, secure email systems, or related billing processes.
  • Experience communicating with technology vendors and tracking service requests.
  • Familiarity with time-entry rules, punch policies, pay policies, payroll concepts, or testing practices.
  • Experience reviewing invoices or coordinating equipment purchases.

Working Relationships

This role works closely with HRIS Analysts, Payroll, Human Resources, Finance or Accounts Payable, Information Technology and information security teams, business-location contacts, and external time clock, badge, secure email, and HRIS vendors.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to occasionally move about inside the office to access file cabinets.
  • Must be able to operate a computer.
  • Must be able to frequently communicate via telephone.
