What are the responsibilities and job description for the Community and Member Services Coordinator position at Ames Regional Economic Alliance?
GENERAL SUMMARY:
Under minimal supervision, the Community and Member Services Coordinator is a cross-functional member of the team possessing a growth mindset, flexible attitude, and willingness to be a collaborative team member.
As a cross-functional member of the team, this individual is comfortable in both community-facing roles and at times back-office operations. This person is willing to step outside of his or her respective assigned responsibilities, interact with members and event attendees, represent the Chamber as a brand, and share the workload.
ESSENTIAL DUTIES AND TASKS
1. Stand-up events that create productive and positive experiences for our membership, community, and attendees.
2. Coordinate logistics, planning and execution of all events. This may include event promotion such as press releases, social media posts, reels, and video, along with on-site coordination the day of the event. Attendance at committee meetings and through review of communications such as committee emails and/or press releases will be needed to relay accurate information to members or communicate event details via chamber’s social media channels.
3. Develop and execute content that clearly communicates the Webster City Area Chamber of Commerce’s intended message, consistent with current branding standards with a high taste level.
4. Consistent analysis of social media statistics and data, taking actionable steps in response to data trends or engagement levels.
5. This role will be responsible for ensuring the office delivers the basic benefits of chamber membership, excellent customer service skills including strong communication by phone, email, and in writing.
6. Demonstrated ability to follow-through, be actionable, or elevate requests to meet member or community needs. Knowledge of community events and chamber projects may require some research and follow-up at times.
7. Work in partnership with the board president and Chamber Director to stand-up a Chamber Ambassador program by identifying members that may be interested in future board seats or more involved in chamber events. Initial responsibilities may include developing programming or materials, researching other chamber ambassador programs, or hosting initial group meetings.

10. Manage reception and visitor services.
11. Excellent communication and interpersonal skills with the ability to interact with a variety of personalities, diffuse strong opinions as needed, or empathize with member challenges and/or concerns. Actionable follow-up as required.
12. Manage client and / or membership database.
13. Administrative support to the Executive Director and Chamber Board as needed.
14. Ability to present a professional image representing the chamber, during and outside of working hours.
15. Other duties as assigned.

WORKING CONDITIONS:
This work is performed in a moderately noisy office environment. Work can be stressful and pressured by deadlines. Occasional travel may be required. May be asked to drive at night or in inclement weather from time to time.
HOURS:
15-20 hours weekly or as determined by office workload.
Tuesday through Friday
9:00 a.m. – 4:00 p.m. The office is closed on Mondays.
On Mondays, the staff shall participate in Alliance team meetings, training, and organizational development activities in Ames during the morning and allow for office time in Webster City in the afternoon.
The Community and Member Events Coordinator and Executive Director shall maintain staggered schedules when appropriate to maximize office coverage while ensuring adequate time for member engagement outside the office.
Evening or weekend hours may be required to host special events.
EFFORT:
Sitting for long periods of time at a desk. Constantly looking at a computer screen. Must
be able to see, hear, and speak. Filing, fingering, and sorting is a usual activity. Must be
able to lift 25 pounds.
MACHINES, TOOLS, EQUIPMENT:
Computer, printer, calculator, photocopier, fax machine, telephone, and vehicle.
MINIMUM QUALIFICATIONS:
Bachelor’s degree preferred, but not essential. A combination of education and experience may be substituted when proficiency is demonstrated.
Excellent organizational and administrative skills with particular attention to accuracy, detail and foresight are essential to manage multiple projects. Must have excellent communication skills, both verbal and written. Must be able to work with deadlines and must maintain a valid driver’s license and access to a vehicle.

SPECIALIZED SKILLS:
The incumbent must have computer skills. Experience with the following types of
software and/or Windows based applications is preferred: Microsoft Office products with particular attention to Word and mail merging, Excel and Outlook email and calendars.
