We are seeking a dynamic and organized Office Administrative Assistant to join our team! In this vital role, you will be the friendly face of our office, managing daily administrative tasks, supporting customer interactions, and ensuring smooth office operations. Your energy and attention to detail will help keep our workplace running efficiently and professionally.
- Greet visitors and clients at the front desk with professionalism and warmth
- Manage multi-line phone systems, directing calls accurately and courteously
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Support office management tasks including calendar scheduling, appointment setting, and correspondence
- Assist with bookkeeping activities
- Provide excellent customer service by responding promptly to inquiries via phone or email
- Maintain office supplies inventory and ensure the workspace is tidy and well-organized
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Experience with clerical duties such as filing, data entry, and proofreading
- Knowledge of multi-line phone systems and phone etiquette
- Bilingual abilities are a plus for supporting diverse clients and team members
- Previous office experience or administrative experience preferred
- Ability to manage time efficiently in a fast-paced environment
- Familiarity with office management software like QuickBooks or bookkeeping tools is advantageous
