The Operations Support Specialist ensures smooth and efficient operations within our homecare services. This role supports caregivers, clients, and administrative staff by coordinating schedules, managing documentation, and resolving operational challenges. In addition, the Specialist assists with human resource functions, including caregiver onboarding, compliance tracking, and employee support. Key Responsibilities
- Caregiver scheduling: Coordinate and adjust caregiver assignments to meet client needs and ensure coverage.
- Client support: Serve as a point of contact for families and clients, addressing inquiries and resolving service issues.
- Documentation management: Maintain accurate records of care plans, service logs, and compliance documentation.
- System support: Utilize scheduling software, EMR systems, and communication platforms to streamline operations.
- Compliance oversight: Ensure adherence to healthcare regulations, company policies, and state licensing requirements.
- Communication liaison: Facilitate clear communication between caregivers, nurses, clients, and administrative staff.
- Process improvement: Identify opportunities to enhance efficiency in scheduling, reporting, and client service delivery.
Human Resource Duties
- Recruitment support: Assist with posting job openings, screening applicants, and coordinating interviews.
- Onboarding: Facilitate new caregiver orientation, training schedules, and ensure completion of required documentation.
- Credential management: Track caregiver certifications, licenses, and continuing education requirements to maintain compliance.
- Employee relations: Provide frontline support for caregiver questions, concerns, and workplace issues.
- Performance tracking: Help monitor attendance, punctuality, and performance metrics, escalating concerns when necessary.
- Policy communication: Ensure caregivers are informed of company policies, updates, and HR initiatives.
- Recordkeeping: Maintain accurate employee files in accordance with HIPAA and labor regulations.
Qualifications
- Education: Associate’s or Bachelor’s degree in Healthcare Administration, Human Resources, Business, or related field (preferred).
- Experience: 2 years in operations, scheduling, or HR support within healthcare or homecare.
- Technical skills: Proficiency in scheduling software, EMR systems, HRIS platforms, and MS Office Suite.
- Soft skills: Strong organizational, problem-solving, and interpersonal communication abilities.
- Healthcare knowledge: Familiarity with HIPAA, state homecare regulations, and caregiver-client dynamics.
- Adaptability: Ability to manage urgent scheduling changes and multitask in a fast-paced care environment.
