Operations Administrator

About the Role
American Wire Works and Ace Metal Works are long-standing industrial manufacturing businesses with a strong history and a focus on continued growth, operating from a shared facility in Folcroft, PA. We’re looking for a reliable, detail-oriented Operations Administrator to help keep our day-to-day operations running smoothly.
This role is ideal for someone who enjoys being the organizational hub of a busy environment—supporting communication, paperwork, payroll coordination, and vendor interactions so the rest of the team can stay focused on production and customers.
What You’ll Do:
Front Office & Communication
- Manage shared inboxes for customers and suppliers
- Help route emails and requests to the right internal teams
- Answer and direct incoming phone calls
- Keep digital and physical records organized and up to date
Billing, Payroll & Administrative Support
- Send customer invoices and share shipment tracking information
- Collect time records and help submit payroll to our payroll provider
- Distribute pay stubs and assist with routine payroll questions
- Support general office and administrative needs
Vendor Payments & Purchasing
- Process vendor invoices and assist with preparing payments
- Maintain vendor information and payment terms
- Communicate with vendors as needed regarding invoices and timing
- Help purchase office and shop supplies and coordinate services
Support for Accounting & Leadership
- Provide administrative support to the Controller & Accounting Lead
- Help gather documentation for accounting, CPA, or bank requests
- Assist with special projects and process improvements as the business grows

- Clear and professional communication skills
- A team-oriented mindset and willingness to help where needed
- Comfort working with Excel, QuickBooks, email, and standard office systems
Experience in manufacturing, operations, or office administration is a plus—but we care just as much about attitude, reliability, and attention to detail.
