Administrative Support
Overview
The Administrative Assistant provides comprehensive administrative support to the Buffalo manufacturing facility, supporting Operations, HR, EHS, and Facilities teams. This role is essential to maintaining efficient office operations, coordinating internal processes, and ensuring accurate documentation and communication across departments.
Detailed Roles & Responsibilities
Administrative Support
- Perform general office duties: data entry, scanning, filing, sorting mail, and managing correspondence (email, mail, fax)
- Order and maintain inventory of office and facility supplies
- Schedule meetings and manage calendars using Microsoft Outlook and Teams
- Set up audio/video equipment for meetings and maintain conference room readiness
- Maintain records of meeting minutes and all training sessions
- Update and maintain AppSpace (Communication) boards
- Track, record, and analyze operational data; prepare daily, weekly, and monthly reports
- Use SAP to generate purchase requests and perform service entries for invoices
- Provide backup support for timekeeping and maintenance data entry
- Support HR and operations with onboarding, training coordination, and record keeping
- Update and distribute HR policies and internal communications
- Support employee engagement and recognition programs
- Support the employee badge access process, including issuing, activating, and troubleshooting badge-related issues.
- Serve as the primary point of contact for locker assignments, maintaining accurate records and resolving any related inquiries.
- Perform other administrative duties as assigned
- 1–3 years in an administrative or office support role is required
- Experience in a manufacturing or industrial environment preferred
- Prior experience in an operations support (inventory, planning, purchasing) role is a plus
- High school diploma, GED, or equivalent experience required
- Associate’s degree preferred
- Strong attention to detail and organizational skills
- Excellent customer service and interpersonal communication
- Professional demeanor and discretion with confidential information
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams)
- Ability to work independently and manage multiple priorities
- Excellent written and verbal communication abilities
- Ability to multitask and prioritize in a fast-paced environment
- Comfortable using office equipment (fax machine, scanner, etc.)
