Job description:
American Southwest Electric is a growing electrical subcontractor supporting large-scale commercial and infrastructure projects in Nogales, Arizona, and surrounding areas. As we continue to expand, we are seeking a highly organized and motivated Office Assistant to support daily operations and project coordination.
This role is essential to maintaining smooth communication between field and office staff, ensuring construction documentation is properly managed, and supporting overall office efficiency. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced construction environment.
Construction Document Coordination
- Organize, track, and manage the flow of construction documents including contracts, RFIs, submittals, drawings, change orders, and correspondence.
- Ensure all project documentation is accurately filed and up to date.
- Assist with scheduling meetings and coordinating project timelines.
- Support communication between project managers, field crews, general contractors, and vendors.
Office Operations & Organization
- Maintain a clean, organized, and professional office environment.
- Monitor and manage office inventory, including supplies and equipment.
- Serve as the first point of contact for visitors, calls, and general office inquiries.
- Support daily administrative operations to ensure efficiency and organization.
Employee Onboarding & Support
- Assist with onboarding new hires, including processing employment paperwork and coordinating orientation.
- Maintain employee files and ensure documentation compliance.
- Facilitate clear communication between team members and management.
- Support general employee relations and internal communications as needed.
General Administrative Support
- Provide administrative assistance to management and project teams.
- Perform additional duties as assigned to support company operations.
Qualifications
- Strong organizational and multitasking skills.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Office (Word, Excel, Outlook); construction software experience is a plus.
- Professional communication skills (written and verbal).
- Ability to work independently and as part of a team.
- Prior experience in a construction or subcontractor office environment preferred.
