Salary Range: $60,000-$75,000

Position Overview:

The Board Governance and Administration Manager provides support to the Board of Directors and the CEO/Executive Director. This position manages the board elections, committee appointments, the Board’s online Web presence, and maintenance of associated databases. This position also provides administrative support to the Society’s Engineering Technology Honors Society, Tau Alpha Pi and general support to the Society’s office space.


Essential Duties / Responsibilities:


Board of Directors

  • Organizes board meeting agendas.
  • Provides administrative support to the president of the board assisting the Secretary of the Board/CEO.
  • Develops and publishes minutes at board meetings.
  • Schedules board meetings, executive committee meetings, and finance committee meetings.
  • Collects content for board agendas.
  • Maintains board records and tracks completion of board and associate staff tasks.
  • Maintains board committee liaison list.


Committees

  • Provides administrative support to the President or President-Elect in making annual appointments to approximately 25 standing committees; manages and executes the appointment process; maintains lists of current appointees, their terms of service and selection formula for positions.
  • Serves as staff liaison to ASEE’s nominating committee


Executive Office Support

  • Provides administrative support to the CEO/Executive Director. Including, but not limited to:
  • Providing administrative support to the CEO in making periodic appointments of ASEE representatives to other organizations (e.g., AAAS, AAES, ABET, etc.); managing and executing the appointment process; maintaining lists of current appointees, their terms of service and selection formula for positions.
  • Overseeing the MOU process with international organizations.
  • Sending out invites to attend Annual Conference, etc.
  • Travel
  • Scheduling
  • Strategic plan support
  • Fundraising support
  • Meeting material prep support


Society Elections

• Provides administrative support to the ASEE nominating committee, in identifying qualified candidates for annual board elections; and serves as staff liaison to the nominating committee.

• Verifies candidate eligibility, where applicable. Solicits candidate statements/bios/photos.

• Overall management of annual ASEE board elections process.

• Translates relevant board actions into ballot measures.

• Produces election ballots and coordinates their distribution to ASEE membership.

• Receives and tallies election ballots.

• Produces final election report for ASEE Board of Directors and updates associated databases.

  • Other duties and special projects as assigned.


Honors Society Administration

  • Organizes society board meeting agendas.
  • Provides administrative support to the President of the board, assisting the Secretary of the Board/CEO.
  • Develops and publishes minutes at board meetings.
  • Schedules board meetings.
  • Collects content for board agendas.
  • Maintains board records and tracks completion of board and associate staff tasks.
  • Maintains society chapter currency and payment process.
  • Maintains society membership roster and payment process.
  • Maintains, sells, and distributes society memorabilia and honoraria.
  • Maintains the outsourcing process for any or all society functions as applicable.

Additional Duties

  • Serves as an alternate point of contact for building office management, maintenance, and security staff.
  • Organize and update supplies, etc. as necessary.
  • Processes mail and shipping on a weekly basis.


Minimum Qualifications

  • Bachelor’s degree or equivalent experience.
  • 5 years of experience in association governance work or a related field.
  • Administrative experience, preferably in the non-profit sector.
  • Ability to meet multiple tight deadlines.
  • Excellent oral and written communications skills.
  • Ability to draw inferences and make connections.
  • Ability to manage and coordinate multiple assignments.
  • Fluent in Microsoft Office Suite.
  • Fluent in website management and capable of basic HTML programming and database management with training.
  • Ability to travel to offsite board meetings and conferences at least twice per year as applicable.

  • Strong organizational skills and ability to set priorities and meet deadlines.
  • Thorough knowledge of MS Excel.
  • Solid interpersonal and communication skills with the ability to present to ASEE Directors and board members.
  • Excellent analytical, detailed-oriented skills with ability to link to the big picture.
  • Clear vision of organizational structure within a non-profit society.
