We’re looking for a Pre-Construction Coordinator to run the administrative coordination, documentation, and tracking that keeps our Pre-Construction department on time and error-free. This role is the operational backbone of the team. You will ensure every project that enters Pre-Con has accurate data, organized files, and active status visibility from award through production handoff.
This is not a technical construction role. You don’t need roofing experience. You need to be organized, detail-obsessed, and comfortable working across multiple software systems at the same time.

What You’ll Do
- Set up and verify project folders, file naming, and document organization for every awarded project
- Create and maintain job records, cost codes, and estimates in our accounting system (Sage Intacct)
- Verify that all project data is complete and accurate before jobs move from Sales into Pre-Construction
- Create shell templates in Smartsheet for materials/equipment lists and work-in-progress logs on each new project
- Seed submittal logs using an AI-assisted tool, then track submittal statuses as they move through review cycles
- Monitor project tracking sheets for completeness: follow up with team members when fields are stale, blank, or behind schedule
- Set up company access in GC project management platforms (Procore, CMiC, Textura, etc.) and route incoming items to the right team member
- Publish a weekly status report highlighting lingering items, blockers, and projects approaching deadlines
- Coordinate the Pre-Con to Production handoff: run the readiness checklist, compile the handoff package, and flag open items before a project moves to the field
- Meticulous attention to detail. You spot errors in file names, field entries, and document placement before they become problems.
- Ability to track and manage multiple projects simultaneously without dropping items
- Comfortable learning new software quickly (Smartsheet, Sage Intacct, GC portals, Microsoft 365)
- Process-oriented: you follow checklists, maintain standards, and execute repeatable workflows consistently
- Not afraid to follow up. When a team member hasn’t completed their piece, you flag it immediately.
- Prior experience in construction coordination, project administration, or office management is a plus but not required
