American Fleet Services is currently hiring an organized and motivated Invoicing Clerk to support our expanding Service Billing Team. In this role, you’ll be responsible for preparing, reviewing, and organizing invoice documentation to ensure accurate billing operations. Invoicing Clerk Summary:
The Customer Service Invoicing Clerk is responsible for the accurate review, preparation, and documentation of service invoices to support timely billing and financial processing. This role also assists with internal communications and celebrations and serves as a backup for billing functions to support continuity within the department.
Key Responsibilities:
· Retrieve and organize service invoices from internal teams for processing.
· Review profit margins for labor and parts in accordance with company guidelines.
· Verify technician repair times, credited hours, and ensure accuracy with pricing agreements.
· Confirm compliance with customer billing requirements and update invoice documentation accordingly.
· Identify and escalate any discrepancies related to technician time or customer pricing.
· Prepare and scan invoice documentation for further processing by the billing department.
· Print and manage daily reports; maintain organized invoice records and identify any missing documents.
· Complete administrative tasks such as filing loaner agreements, marking discounted invoices, and reporting associated costs.
· Train as a backup to the Billing Specialist to support career growth and ensure operational coverage.
· Maintain a neat and professional work environment and participate in training and meetings as required.
· Comply with all company policies, including the Business Ethics and Conduct standards.
· Perform other duties as assigned
Service Invoicing Clerk Skills and Qualifications:
The ideal candidate will possess an upbeat, professional attitude. You must have the desire to work as part of a team to reach company objectives and the ambition to succeed and grow with the company. The role demands that you be a self-starter who works work well under minimal supervision after the initial training period.
Additional requirements include:
· High school diploma or equivalent required
· Prior experience in an office, administrative, or billing environment is a plus
· Mathematical skills needed to understand profit margins and billing hours.
· High level of computer literacy and the ability to adapt to new software programs.
· Unquestionable ethical approach to business dealings.
· Strong customer-focused attitude.
· Excellent follow-up skills.
· Superior communication both oral and written, telephone, email and organizational skills are a must.
· Experience with Microsoft Outlook, Excel, Word, and Spreadsheets is mandatory!
· All applicants must pass pre-employment testing to include background checks in order to qualify for employment.

Environment/Physical Demands:
· Work performed in a standard office environment
· Must be able to lift up to 10 lbs. regularly; occasional lifting over 10 lbs.
· Daily stair climbing required
Occasional exposure to loud noise and fumes when visiting the automotive shop floor
