The Licensing Specialist is a member of a small team of licensing professionals which serve as the main point of contact for all company licensing-related matters. The primary area of responsibility is working with state agencies to ensure adherence to all requirements and meeting all deadlines. Responsible for (i) ensuring mortgage loan originators (MLOs) maintain current and accurate records in the Nationwide Mortgage Licensing System (NMLS), and (ii) assisting with researching corporate, federal and state regulations or other licensing-related needs to ensure compliance with all applicable federal and state regulators. The Licensing Specialist also has vendor management responsibilities which include vendor onboarding, compliance monitoring, contract documentation, and maintaining the vendor central repository.

- High School Diploma
Licensure Maintenance
- Procuring and maintaining licensure for the company, branch office locations, and MLOs.
- Monitor and maintain company and branch office licensing.
- Maintain licensing records and licensing information in Byte, the company’s loan origination system.
- Work with state agencies to ensure adherence to requirements and deadlines.
- Ensure MLOs maintain current and accurate records in the NMLS.
- Monitor NMLS tasks and assist with clearing items.
- Monitor and address license application deficiencies in NMLS.
- Coordinate MLO requirements, including ordering education and scheduling tests.
- Assist with the input of MLO records.
- Analyze and fulfill state-specific license application requirements.
- Process payments for licensing costs.
- Assist the Licensing Manager with research on state regulations and other requests.
Vendor Management Specialist Responsibilities
Vendor Onboarding & Communication
- Assist with the initial setup and documentation of new vendors.
- Communicate compliance updates and requirements to vendors.
- Monitor vendor activities to ensure compliance with company policies and regulatory requirements.
- Coordinate with internal departments to resolve vendor compliance issues.
- Investigate and resolve incidents of non-compliance with vendors.
- Maintain the central repository of vendor contracts, ensuring agreements and supporting documentation are current, organized, and easily accessible.
- Track contract renewal dates and notify management of upcoming expirations.
- Track and manage deadlines for all compliance tasks and deliverables.
