We’re looking for a dependable, detail-oriented Part-Time Administrative Assistant to support our agency’s daily operations and help our team deliver an excellent experience to our policyholders.
Position Summary
The Part-Time Administrative Assistant provides general office and administrative support to the agency’s owners and staff. This role is ideal for someone who is organized, friendly, and efficient, and who enjoys working behind the scenes to keep things running smoothly. The Administrative Assistant will handle routine office tasks, basic client support, and light follow-up communications, helping the agency stay organized and responsive.
Key Responsibilities
• Greet visitors and answer incoming calls in a professional and friendly manner.
• Direct calls, take detailed messages, and route inquiries to the appropriate team member.
• Assist with scheduling appointments, policy review meetings, and follow-up calls.
• Perform general office duties such as scanning, filing, copying, and organizing documents.
• Prepare and mail or email forms, letters, and basic client communications as directed.
• Help maintain client records and update information in agency management and CRM systems.
• Support the team with data entry, report preparation, and maintaining spreadsheets.
• Assist with organizing and preparing materials for agency events, mailings, and marketing campaigns.
• Help with reminder calls, customer appreciation touches, and basic outreach tasks as assigned.
• Ensure paperwork and forms are completed accurately and routed to the appropriate team member for processing.
• Participate in team meetings and training to stay aligned with agency processes.
Note: This role is primarily administrative. Insurance licensing is not required but may be beneficial if you wish to grow into additional responsibilities over time.
Qualifications
• Previous administrative, office, or customer service experience preferred.
• Professional, friendly demeanor and strong interpersonal skills.
• Clear verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks, prioritize work, and meet deadlines.
• Basic computer skills, including familiarity with email, word processing, and spreadsheets.
• Comfortable learning new software and following established office procedures.
• Dependable, self-motivated, and able to work independently and as part of a team.
Preferred (but not required):
• Experience in an insurance, financial services, or professional office environment.
• Interest in learning more about the insurance industry and agency operations.
Schedule & Compensation:
Schedule

• Typically within standard business hours; occasional flexibility may be requested for events or special projects.
• Expected schedule of approximately 24-32 hours per week.
