Position Summary
ACP is seeking a resourceful and organized Coordinator to join the Industry Education and Training team within the Conferences and Events department. The successful candidate will be a reliable and proactive contributor, helping to deliver high-quality education programs and seamless event experiences across ACP’s in-person conferences and virtual events throughout the year.
The Coordinator will support the full lifecycle of conference education programming, from speaker coordination and session logistics to on-site execution and post-event data reporting. This role requires strong attention to detail, the ability to manage competing priorities effectively, and the ability to communicate clearly and professionally with both internal colleagues and external stakeholders. The ideal candidate will demonstrate initiative and have an interest in developing their knowledge of the clean energy industry.

Conference Planning
We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high-level work demands and independent decision-making under tight timelines. Occasional travel outside of the Washington, DC area for meetings or events required. Applicants must be currently authorized to work in the United States on a full-time basis. ACP will not sponsor applicants for work visas.
We reasonably believe that the base salary range for this position is $55,000-65,000 annually. At ACP, a wide range of factors are considered when making compensation decisions including and not limited to skill set, experience, training, education, knowledge, and other business and organizational needs. Conference Planning
- Manage team email inboxes, responding in a timely, professional manner and routing inquiries to appropriate team members as necessary.
- Maintain and update the event program master calendar, tracking content deadlines, document submissions, and deliverable schedules across all ACP events.
- Support program leads in sending and tracking speaker invitations and responses.
- Coordinate speaker planning calls and send calendar invites for both in-person and virtual ACP events.
- Respond to general attendee inquiries and support follow-up communications, proactively identifying recurring questions or gaps that could be addressed through workflow improvements.
- Assist in preparing briefing documents for ACP executives and featured speakers, including political guests and paid celebrities, tracking updates and collecting presentation files against deadline.
- Serve as the primary point of contact for poster presenters, coordinating space layout, onboarding, poster printing, and on-site logistics.
- Partner with the registration team to confirm that all conference speakers are properly registered for the events in which they are participating, catching and resolving any discrepancies proactively.
- Maintain accurate, up-to-date inventory of all Industry Education team materials, flagging any needs in advance of events.
- Provide general administrative support for new and existing projects, including contributing to the implementation of new program ideas.
- Support the event registration team as needed.
- Maintain a courteous, positive, professional, and cooperative attitude with staff, vendors, members and nonmembers.
- Organize, pack, and ensure timely delivery of Industry Education team meeting materials to off-site conference locations.
- Manage and oversee the program student volunteers for conferences, providing clear direction and day-of guidance
- Provide on-site support at ACP events as needed, including conference program implementation or supporting the registration desk.
- Track speaker metrics, program and content attendance, and update the appropriate dashboards that produce annual reports.
- Manage digital filing of final event documents for archival purposes.
- Maintain and update the speaker management system (Cadmium) to ensure all information for events and speakers is current online.
- Coordinate the posting and preparation of session recordings for purchase following ACP conferences
- Bachelor’s or associate degree in hospitality, communications, or a related field, or a combination of education and relevant work experience.
- 1–2 years of experience (including internships) in a professional setting supporting events, hospitality, communications/marketing, or a related function.
- Proficiency in Microsoft Office (Word, Excel, Outlook), with the ability to produce polished materials, manage data accurately, and support day-to-day coordination needs.
- Demonstrated ability to manage multiple priorities and execute on a high volume of tasks with attention to detail, strong organization, and consistent follow-through. Able to adapt quickly and maintain quality in a fast-paced, deadline-driven environment.
- Strong written and verbal communication skills, including clear, timely, and professional correspondence; ability to tailor communication to different audiences and ensure alignment across stakeholders.
- Effective coordination and project support skills, including tracking timelines, maintaining organized workflows, identifying gaps, and proactively advancing work with appropriate follow-up. Exercises sound judgment in escalating issues and proposing solutions.
- Collaborative approach with the ability to build relationships across teams and levels of the organization. Demonstrates professionalism, reliability, and a service-oriented mindset when working with internal and external partners.
- Customer service orientation with a focus on responsiveness, problem-solving, and delivering a high-quality experience for stakeholders, members, and event participants.
- Interest in and willingness to learn about the renewable energy industry and broader market trends, with the ability to translate that learning into day-to-day work.
- Ability to travel (15–25%), including occasional evenings and weekends aligned to event schedules.
- Ability to lift up to 30 lbs. with assistance and support on-site event logistics, including shipment coordination and materials handling.
