What are the responsibilities and job description for the Bookkeeper position at American Cave Conservation Association/Hidden River Cave?
The American Cave Conservation Association/Hidden River Cave is looking for a bookkeeper to join our team. The ACCA is a non-profit, located at Hidden River Cave, with a mission to protect caves, karstlands, and groundwater resources. This position works collaboratively with leadership, Gift Shop Manager, Membership Director, and our CPA to ensure accuracy, compliance, and timely financial procedures and reporting.
Day-To-Day Operations
· Transaction Recording: Accurately record all income, including memberships and donations, grants, and fundraising revenues, as well as operational expenses in the accounting system.
· Fund Tracking: record all incoming funds according to any restrictions and allocate expenses appropriately by program.
· Accounts Payable & Receivable: Process vendor invoices, issue payments, verify receipts, and manage employee expense reimbursements.
· Payroll: Process and record deposits and assist with payroll processing.
· Daily Deposit: Process and record the tour/gift shop daily sales and donations, locate and resolve discrepancies in POS closing procedures, and make deposits.
· Memberships: Accurately record memberships and donation payments as advised by the Membership Director.
Monthly & Periodic Duties
· Reconciliation: Regularly reconcile all bank and credit card accounts to identify and resolve discrepancies.
· Financial Reporting: Generate monthly financial reports, including income statements, balance sheets, and cash flow statements, for management and the board of directors.
· Grant Management: Track spending against restricted grant budgets to support grant reporting.
· Month-End: Gather financial documents indicating all invoices, receipts, bank statements, and payroll data, ensure all transactions have been journaled, reconcile banking accounts and daily sales, and pay monthly sales tax.
· New Hire Intake: Ensure the collection of necessary paperwork for tax and company needs, submission into Sage, document changes to pay rates and vacation/sick/personal time, as-needed, in Sage and hard copy files. Prepare and distribute Company Handbook.
· Year-End: Gather all monthly document collections; reconcile all accounts to zero out, prepare external tax filing documentation, compile the necessary reconciled accounts and ledgers to assist the accountant in filing IRS Form 990 and other state/federal tax filings, and prepare and organize financial records, ledgers, and supporting documentation for annual independent audits.
· Filing System: Organize and maintain a filing system for yearly accounting and board documents.
Qualifications and Skills
· Experience: 2–5 years of bookkeeping experience, ideally with a 501(c)(3) nonprofit or similar organization, and with double entry booking, and cash-method accounting.
· Software Proficiency: Strong expertise in Sage.
· Nonprofit Knowledge: Familiarity with nonprofit fund accounting and grant tracking procedures.
· Organization: Excellent organizational skills, ability to multitask, a high degree of personal and professional integrity, and detail oriented.
· Communication: Clear verbal and written communication skills to effectively discuss financial health with CEO, and to resolve discrepancies with vendors.
Pay: $15.00 - $17.00 per hour
