Job Title: Medical Collections Representative
Reports to: Director of Revenue Cycle Management
Amera Imaging is seeking a Medical Collections Representative to support timely reimbursement across both health insurance and legal-based accounts. This role is responsible for billing and rebilling claims, proactive follow-up on unpaid or underpaid balances, denial resolution, and consistent case statusing to move accounts through to final payment. The ideal candidate is organized, persistent, detail-oriented, and communicates professionally with payors, attorneys, and internal teams while maintaining accurate documentation and compliance standards.
Key Responsibilities:
- Meets department collection and follow-up performance expectations for health insurance and legal-based accounts.
- Completes assigned work accurately and on time; escalates issues, delays, or barriers to the Supervisor to support prompt resolution.
- Performs daily billing and rebilling of claims to third-party insurance carriers.
- Submits initial, corrected, secondary, rebilled, and late charge claims daily to maintain current account status.
- Ensures all payor-specific billing requirements are met to reduce denials and delays in reimbursement.
- Performs routine and escalated follow-up on unpaid, underpaid, and zero-pay insurance claims.
- Proactively works insurance denials, including corrections, appeals, and submission of required documentation.
- Identifies and communicates trends related to denials, payment variances, billing errors, and zero payments.
- Performs case statusing with attorneys and case managers to confirm settlement progress and payment timelines.
- Follows legal-based accounts through negotiation, settlement, and final payment.
- Prioritizes assigned work queues to support timely collections, focusing on high-dollar and aged accounts.
- Documents follow-up activity and correspondence thoroughly in the billing system using appropriate activity codes.
- Works returned mail and correspondence from insurance carriers and legal offices daily.
- Communicates professionally with insurance carriers, attorneys, guarantors, and internal teams.
- Collaborate with other collectors/teammates to support department goals.
- Completes special projects and other duties as assigned by the Patient Accounts Manager or Supervisor.
- Comply with established workflows, productivity expectations, and documentation standards.
- Maintains confidentiality and adheres to HIPAA requirements.
Follows Amera Imaging attendance standards, workplace policies, and professional conduct expectations.
Qualifications:
High school diploma or equivalent required; college coursework or degree preferred.
- 2 years of medical billing/collections experience preferred (insurance follow-up, denials, or payment resolution).
- Strong understanding of the claim lifecycle, EOB/ERA review, and denial resolution processes.
- Experience submitting corrected claims, appeals, and supporting documentation through payor portals and clearinghouses.
- Experience with billing and High attention to detail with strong documentation habits and ability to manage multiple work queues.
- Professional communication skills for interacting with payors, attorneys/case managers, and internal teams.
- Ability to work independently, meet deadlines, and maintain productivity expectations in a fast-paced environment.
- Commitment to confidentiality, compliance, and excellent service.
- Experience with billing and claims tools such as Waystar and EZClaim (preferred)
Physical Requirements:
- Ability to lift up to 30 pounds
- Ability to sit for 80% of the day
- Ability to stand as needed.
- Ability to focus for an extensive period on data, letter writing and other administrative duties. Requires mental acuity and the ability to interact with team members and management.
