We are currently seeking a Communications - Admin Assistant to join our Corp Comms & PR team based in our New York, NY offices.
Job Responsibilities
- Provide administrative support to the Chief Communications Officer, as well as EVPs of Corporate Communications and Publicity.
- Manage complex calendars, scheduling and meeting coordination across multiple teams and time zones.
- Coordinate travel arrangements, itineraries and expense reporting.
- Support departmental financial administration including corporate card and invoice processing and reconciliation, monthly accrual reports and vendor onboarding and paperwork management.
- Oversight of department publication subscriptions, renewals and related account management.
- Collect, maintain and regularly update media/industry contact lists, including press contacts, publicists, managers and agents.
- Distribute company press releases and support ongoing communications coordination across teams.
- Monitor department email inboxes including but not limited to the company’s Press Center and Webmaster.
- Manage employee access to company SVOD services.
- Maintain departmental records and resources, including company calendars, event scheduling, award submissions and recognitions, executive bios, office supplies, etc.
- Assist with press and publicity activities, including schedule building, talent travel coordination, journalist interactions, press clips management, event-related logistics and other miscellaneous tasks as needed by various departments.
- Prepare and distribute meeting materials, agendas, presentations and other departmental documents as needed.
- Serve as a point of coordination across communications, marketing, and other internal stakeholders.
- Handle confidential and sensitive information with professionalism, discretion and sound judgement.
- Bachelor’s degree.
- 1-3 years of administration experience, preferably within media, entertainment communications or a corporate environment.
- Proficiency in Microsoft Office.
- Excellent organizational, written and verbal communication skills.
- Strong attention to detail and ability to manage multiple priorities simultaneously.
- Proactive, resourceful and able to work both independently and collaboratively as part of a team.
- Professional demeanor with strong interpersonal skills and sound judgement.
- Interest in and knowledge of entertainment industry and/or corporate communications and PR is preferred.
- Ability to work various events and travel as necessary.

Salary : $50,000 - $60,000
