Job Summary

We are seeking a friendly, organized and dependable Bilingual Receptionist/Administrative Assistant to join our team!

In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. Your multitasking skills and attention to detail will support daily office operations, streamline administrative processes, and enhance overall productivity. Responsibilities

  • Greet visitors warmly, manage front desk activities, and direct inquiries efficiently
  • Answer, screen and direct incoming phone calls in both English and Spanish
  • Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
  • Manage incoming and outgoing mail, emails and office correspondence
  • Manage appointment scheduling and calendar coordination for deciplines
  • Maintain organized filing systems, including digital documents and physical records, ensuring easy retrieval
  • Support office management duties such as supply inventory, ordering, and general administrative support
  • Provide customer support by addressing inquiries promptly and professionally in person or via phone/email Skills
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Demonstrated clerical experience including filing, data entry, and document proofreading
  • Knowledge of office management procedures and administrative best practices
  • Technical proficiency in office equipment such as printers, scanners, and telephones
  • Customer service expertise with a friendly demeanor and strong communication skills
  • Time management skills to handle multiple responsibilities efficiently while maintaining productivity standards
  • Previous experience as a medical receptionist is a plus; personal assistant experience is also valued
