Job Summary
The Referral Administrator owns the identification, triage, and placement of matters that fall outside in-house representation — making sure no referral opportunity is lost and no Potential New Client (PNC) is left without direction. This role correctly distinguishes General (GEN) from Personal Injury (PI) matters, routes cases to the appropriate referral channel (Preferred Attorney, Crisp Connect, or AttorneyShare), executes warm and cold referrals professionally, manages referral inventory across all portals, and ensures CTAs (Contracts to Associate) and lead-source data are accurate so the firm captures every referral fee opportunity. Success requires sharp judgment on case classification, strong attention to compliance and documentation, and a service mindset that strengthens long-term referral relationships.

Key Responsibilities
- Correctly identify General (GEN) vs. Personal Injury (PI) leads and recognize applicable case types.
- Route cases to the correct referral channel — Preferred Attorney, Crisp Connect, or AttorneyShare.
- Escalate cases requiring GEN intervention in a timely manner.
- Execute warm referrals smoothly to maximize partner acceptance and preserve PNC experience.
- For cold referrals, provide one to two vetted attorney options while maintaining service quality.
- Send outbound referrals with facts only, withholding premature PNC details until appropriate.
- Follow inbound referral protocols, including obtaining the required green light before placement.
- Manage referrals strategically in Crisp Connect and AttorneyShare to maximize placement opportunities.
- Track referral statuses in Lead Docket and Filevine, actively minimizing aging referrals and stale inventory.
- Generate CTAs timely and accurately to protect referral fee opportunities.
- Document lead source correctly on every matter to support reporting and marketing attribution.
- Maintain complete case notes and documentation to support clean handoffs and audit readiness.
- Uphold confidentiality and contact-handling protocols with zero compliance breaches.
- Deliver a professional, informed PNC handoff on every matter — even when the firm does not retain the case.
- Provide organized, responsive support to associating attorneys to strengthen partner relationships.
- GEN and PI matters are accurately identified and routed; misrouted cases and intake leakage are minimized.
- Warm referrals transition smoothly with high partner acceptance; cold referrals deliver viable options without sacrificing service quality.
- Referral inventory is current, visible, and actionable across Crisp Connect, AttorneyShare, Lead Docket, and Filevine.
- CTAs are timely and accurate; lead-source tracking remains reliable for reporting and attribution.
- PNCs experience a professional handoff regardless of outcome, and partner firms see organized, responsive support that builds long-term referral value.
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 1–2 years of experience in legal intake, case routing, or a referral-coordination role; personal injury firm experience strongly preferred.
- Familiarity with referral platforms such as Crisp Connect, AttorneyShare, or similar.
- Working knowledge of case management and intake software (Filevine, Lead Docket, or comparable).
- Familiarity with personal injury case types and the practical difference between general (non-PI) and PI matters.
- Strong written and verbal communication skills with the ability to represent the firm professionally to outside attorneys and PNCs.
- Bilingual (English/Spanish) is a plus but not required.
- Ability to maintain confidentiality and exercise sound judgment with sensitive client and partner information.
- Sharp case-identification judgment — knowing what is PI, what is GEN, and what gets escalated.
- Strong attention to compliance and documentation — CTAs, lead source, and contact protocols all flow through this role.
- Comfort working across multiple referral platforms and case management systems simultaneously.
- Professional, service-oriented communication with both PNCs and outside referral partners.
- Proactive follow-through on aging referrals and open placements.
- Discretion with confidential client and partner information.
