Position Summary:
The Project Management Assistant supports the Project Manager team within the Special Inspection and Testing Division by providing administrative, coordination, and technical support throughout the life cycle of our projects. This role helps ensure special inspection and materials testing services are properly scheduled, documented, and delivered in compliance with applicable building codes, standards, and client requirements.
QUALIFICATIONS
- Associate or bachelor’s degree preferred
- Strong organizational and time-management skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent written and verbal communication skills
- Ability to manage multiple projects and deadlines
CORE RESPONSABILITIES
- Monitor and review incoming emails, respond to urgent matters as appropriate, and route correspondence to the correct team members.
- Provide general administrative support to the Special Inspection (SI) team as needed.
- Review inspection reports for completeness, accuracy, and formatting.
- Demonstrate strong multitasking abilities, clear and professional communication skills, and a personable, team-oriented attitude.
- Familiarity with QuickBooks, Microsoft Excel and Word, Adobe, and Procore is preferred.
Project Coordination & Administrative Support
- Assist Project Managers with day-to-day project coordination and administrative tasks
- Support setup of new projects, including contract documentation, scope review, and project files
- Track project schedules, inspection assignments, and testing activities
- Coordinate with inspectors, technicians, and field staff to ensure coverage and compliance
Documentation & Reporting
- Assist with preparation, organization, and distribution of inspection reports, test results, and compliance documents
- Help track special inspection requirements per IBC and approved Statement of Special Inspections (SSI)
- Maintain accurate project records, logs, and correspondence
- Support close-out documentation, including final reports and compliance letters
Communication & Client Support
- Serve as a point of contact for internal staff, contractors, and clients regarding scheduling and documentation
- Assist with responding to client inquiries related to inspections, testing, and project status
- Coordinate communication between field staff and Project Managers
Compliance & Quality Support
- Assist in tracking inspector certifications (ICC, ACI, AWS, etc.) as required for projects
- Help ensure inspections and testing are performed in accordance with applicable codes, standards, and project specifications
- Support internal quality control procedures and audits

Pay: $20.00 - $30.00 per hour
