Buffalo Ambulatory Surgery Center is looking to hire a highly organized and detail-oriented Materials and Facilities Manager to oversee our physical operations and inventory processes. 

This position is Full-time (40 hours a week) Monday - Friday.  The daily schedule is approximately 7:00am-3:30pm, but start and stop times can be flexible.  Our facility is closed on the weekends and holidays.

The Materials and Facilities Manager manages the flow of supplies and specialty products to ensure adequate availability for patient care in a safe, efficient, and cost-effective manner.  This position also oversees the performance of all facility maintenance conducted by both BASC staff and approved vendors.


Job Duties Include:

  • Continually monitor and manage inventory levels to ensure adequate supplies for daily operations. Restock par areas as needed and place orders in a timely manner using an inventory management system.
  • Manage the Purchase Order (PO) process, receiving, and replenishment of all supplies for assigned location(s).
  • Identify, resolves, and communicate product availability issues to appropriate personnel. Conducts regular reporting to the Administrator and department leads.
  • Coordinates inventory management activities.
  • Assists with value analysis and product trials as requested.
  • Manage par areas and maintain accuracy in the inventory system.
  • Ensure purchasing activity aligns with the overall purchasing department strategy.
  • Establishes strong relationships with facility vendors; evaluates existing and new partnerships.
  • Manages contracts for supplies, implants, equipment services, and purchased services in coordination with the Administrator.
  • Oversees flow of equipment and ensures equipment is following applicable biomedical guidelines.
  • Manages the facilities biohazard waste and medical gas programs
  • Facilitates equipment repair with the appropriate vendor; conducts or oversees in-house repairs as applicable.
  • Monitors emergency equipment (i.e. generator, sprinkler/fire alarm system, etc.) for performance. Ensures routine tests and maintenance are conducted.
  • Supervision and training of direct reports in the Materials/Facilities department.
  • Analyze work area and make recommendations for potential cost-effective improvements.
  • Seeks new learning experiences by accepting challenging opportunities and responsibilities.
  • Participates in continuing education and other learning experiences
  • Participates in facility committees, meetings, in-services, and activities.
  • Any and all other duties as assigned.

  • Shares knowledge gained in continuing education with staff.

  • Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions.
  • Requirements 
    • High School diploma or GED certification
    • Training or courses in materials management
    • Knowledge of business office activities
    • Strong ethical and moral character references
    • Language skills adequate for written, interpersonal, and telephone communication in American English
    • Comply with company policies, procedures, practices and business ethics guidelines.
    • Demonstrate prompt and reliable attendance.
    • Work in the surgery center during business hours and as needed.
    • Travel independently throughout the surgery center (floor to floor).
  • Preferred:
    • Experience in materials management
    • ASC experience
    • Knowledge of electrical and plumbing
  • Physical/Mental Requirements:
    • Ability to lift objects more than 25 pounds and less than 60. Able to push/pull objects more than 50 pounds on a cart.
    • Frequent bending, lifting, stooping or sitting for long periods may be required.
    • Visual and auditory acuity for frequent use of computer, telephone, and use of other office equipment
    • Wears facility provided and laundered scrubs to access sterile areas.
  • Working Conditions:
    • Well lit and ventilated, with non-hazardous and hazardous equipment
    • Category III: involves exposure to blood borne pathogens and may encounter chemical hazards
