Responsibilities
- Greet visitors, clients, and vendors warmly, providing exceptional customer service and ensuring they feel valued from the moment they arrive
- Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette
- Ability to schedule and confirm daily appointments for therapists and providers
- Assist billing department in collecting copayments
- Maintain organized files, records, and data entry logs using Microsoft Office Suite and Google Workspace tools
- Assist with clerical duties, including faxing, filing, spreadsheets
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills and attention to detail
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Prior experience as a receptionist or in customer support roles demonstrating outstanding phone etiquette and interpersonal skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Ability to handle multiple tasks efficiently while maintaining professionalism under pressure
- Receptionist experience is a plus but not required; training will be provided for specific industry needs
